Job Summary

Business Technology Services (BTS) is the strategic technology partner to departments within the Office of External Relations and Stanford Alumni Association. We represent the needs of the organizations we serve in selecting, developing, implementing, and managing technologies that support building and sustaining relationships with Stanford's external constituents. Reporting to the Director, Business Systems Operations. The Associate Director, Strategic Initiatives and Change Management will lead and manage BTS's daily change management and communications.

Your responsibilities will include:

Change Management

  • Craft detailed plans to implement change, including communication plans, stakeholder engagement strategies, and timelines.

  • Identify the change's scope, objectives, and impacts.

  • Analyze how changes will affect processes, systems, and employees.

  • Conduct risk assessments to identify potential obstacles and plan mitigation strategies.

  • Facilitate stakeholder meetings and feedback sessions.

  • Track the progress of change initiatives to ensure they are on track and making necessary adjustments.

  • Measure the effectiveness of the change and its impact on the organization.

  • Identify sources of resistance to change and develop strategies to address them.

  • Facilitate open discussions and address concerns to help reduce resistance.

  • Provide regular updates and reports to senior management on the progress and impact of change initiatives.

  • Collect feedback from employees and stakeholders to continuously improve the change process.

Communications Strategy

  • Create and implement comprehensive communication plans that align with the BTS goals and objectives. Develop a robust marketing and communications strategy that articulates how the communications function will help deliver on the organization's mission, targeting both internal and external audiences.

  • Ensure effective organizational communication by crafting messages for internal newsletters, memos, and announcements.

  • Develop and execute system outage communication plans to manage and mitigate the impact of adverse events on the organization's work.

  • Conduct research to understand the impacted audiences and analyze the effectiveness of communication efforts.

  • Develop visual aids to be used for presentations with stakeholders and governance groups.

  • Oversee and direct external communications and marketing efforts for a complex department with multiple stakeholders and audiences.

  • Write, edit, and prepare presentations on behalf of the BTS Leadership; ensure that the priorities and initiatives of our leaders are understood and advanced; and support the BTS leaders.

  • Draft and edit critical communications, including speeches, remarks, presentations, briefings, backgrounders, reports, high-level correspondence, and website content for BTS’s leaders, targeting both internal (e.g., staff, constituents, i, and boards) and external audiences (e.g., industry leaders, government officials, conferences, and other academic institutions).

  • Establish and foster relationships with key BTS constituencies, such as top groups, developing communications that resonate with their priorities while promoting ExRe's overarching vision and values.

  • Maintain communications calendar

Strategic Planning

  • Proven management skills and the ability to build and sustain a best-in-class communications and marketing team. Proven ability to support and manage a highly matrixed organization with complex integrated workflows.

  • Manage staff and provide leadership to achieve communication goals supporting the Institution’s mission and the leadership’s vision. Responsible for hiring, retaining, and mentoring staff, driving elevated performance levels, and holding the team accountable for meeting goals and objectives.

  • Assist higher-level management with broader strategic planning.

  • Look for ways to modernize our approach to marketing and communications in an evolving media environment. Foster a proactive customer service mindset across the marketing and communications team, incorporating metrics to inform actions and measure impact.

To be successful in this role, you will bring:

  • Bachelor's degree and three years of relevant work experience or a combination of education and relevant experience.

  • Proven success in writing for publication in print, web, and other platforms.

  • Excels at managing, editing, writing, analyzing, and synthesizing complex materials and has demonstrated the ability to communicate highly technical or nuanced information in a manner easily understood under time constraints.

  • Ability to understand complex materials and synthesize them across multiple sources to produce materials for diverse audiences.

  • Outstanding interpersonal skills and ability to interact effectively with diverse people, including senior leaders.

  • Advanced strategic and tactical thinking ability. Demonstrated ability to discern a strategy to move forward and make or escalate decisions as appropriate.

  • Demonstrated ability to manage large and complex issues through diverse and competing interests. Adept in convening key stakeholders in crisis situations.

  • Demonstrated ability to lead communication efforts across functions and school units toward a common goal.

  • Creative thinker with a desire and ability to seek and optimize opportunities for innovation.

Physical Requirements*:

  • Frequently stand/walk, sit, use a computer; use a telephone, grasp lightly/fine manipulation.

  • Occasionally reach/work above shoulders, twist/bend/stoop/squat, grasp forcefully, lift/carry/push/pull objects that weigh up to 10 pounds, write by hand, sort/file paperwork. Rarely kneel/crawl, operate foot and/or hand controls.

Stanford University hasfive Regional Pay Structures.The compensation for this position will be based on the location of the successful candidate.

The expected pay range for this position is $104,000 to $142,000 per annum for remote positions.

The expected pay range for this position is $130,000 to $163,000 per annum for onsite/hybrid positions.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
