Perform a variety of project management and administrative support functions. Duties are complex and confidential requiring the highest level of discretion and independent judgment. Professionally interact with the offices of senior executives, external organizations, and senior leaders within the organization.

  • Field e-mails and phone calls requesting meetings, handle meeting conflicts and prioritization issues.

  • Coordinate multi-segmented international/domestic travel itineraries ensuring cost efficiencies and complying with company policies.

  • Prepare, reconcile, and track expense reports through T&E System as well as coordination of Passport and Visa applications.

  • Arrange all internal/external meetings such as the quarterly All Staff meeting, semi-annual Town Hall meeting and Lunch & Learn events, providing dial-in numbers, multimedia requirements, refreshments, and the creation or modification of meeting materials.

  • Creation/modification of presentations.

  • Maintain files: correspondence file, document files, High Risk Reviews (Staff: Training, Entitlements, Movements).

  • Tracking of Global compliance, mandatory training, Entitlement Review via EERS System and reporting.

  • Assist with creation/modification of presentations, spreadsheets and documents, and quarterly newsletter.

  • Manage COB deliverables.

  • Share Drive reviews.

  • Prepare Fellowship Program material, assist in coordination of meetings, and maintain website.

  • Maintain the group SharePoint site.

  • Set-up and maintain Outlook distribution listings, prepare copies, handle faxes and PDF transmissions.

  • Handle Mail: Receive, sort and distribute to staff while complying with Citi Check processing policy.

  • Order supplies and handle all copier/ printer/fax equipment concerns.

  • Maintain organizational charts.

  • Manage

  • Produce and compile accurate daily, monthly and quarterly reports.

  • Serve as back up support for other managers and administrative staff as needed.

  • Provide coordination and follow-up for new hire training, on-boarding support for new hires and transferring of staff; including seat registration, PC, phone, parking, security ID pass and entitlement processing.

  • Complete and submit staff termination forms; ensure all facets of employee separation process have been completed.

  • Organize and secure highly confidential company and employee information.

Manage IT, CMP and facility issues/requests.
