Katmai Administrative Assistant in STAFFORD, Virginia
SUMMARY
Provide administrative support in a variety of processes; maintaining a wide variety of records (stored both manually and electronically); verifying reports for accuracy and completeness. Responsible for all aspects of office support including maintaining calendars, answering phones, handling mail, filing, maintaining equipment, ordering supplies, greeting, and assisting visitors and other office duties as assigned.
ESSENTIAL DUTIES & RESPONSIBILITIES
Review, monitor, track and support the execution of personnel actions in Marine on Line (MOL), the Defense Civilian Personnel Data System and other media formats/applications.
Prepare, edit, and route awards actions utilizing the Improved Awards Processing System or other means of submission.
Assist in processing, distribution, and monitoring of tasks for completion within the Marine Corps Action Tracking System or other United States Marine Corps (USMC) I Navy enterprise application.
Assist in processing personnel for joins and departures to include security actions for verifying eligibility and processing for access with higher headquarters.
Assist in maintaining the JPAS PSM net and identifying members by review for submission of periodic investigations.
Compose, review, edit, route, and track official written products using local or USMC/Navy enterprise formats and applications.
Assist in travel planning and auditing, to include group lodging, coordinating with outside agencies for foreign travel requirements and country clearances, military travel registration systems as necessary, coordination and processing of travel authorizations to include use of the Defense Travel System and ensuring travel is in compliance with current travel regulations and processes.
Audit travel to ensure each trip is in compliance with current travel regulations and processes.
Coordinate with the appropriate command personnel for supplies.
Compile information relevant to a command chronology and prepare for publication as approved.
Maintain key documents archive using the enterprise Department of the Navy Tasks, Records, and Consolidated Knowledge Enterprise Repository (DoN TRACKER).
Assist in developing and tracking execution of staff/division budgets and assist in the creation of funding requests or coordinating cross organizational travel funding.
Provide general technical, information and data management to include design and maintenance of SharePoint collaborative sites and information repositories.
Provide calendar management, initiating and monitoring schedule/meeting requests and prioritizing these requests.
Participate in meetings and take minutes, capture all action items, and forward the minutes to the appropriate person for distribution.
Assist in the preparation, publication and distribution of briefing materials associated with the execution of meetings/ events.
Facilitate Integrated Product Teams (IPTs), special advisory boards, on-site and off-site working groups meetings.
Maintain regular and punctual attendance.
Perform other duties as required.

Job Requirements:
MINIMUM QUALIFICATIONS
Bachelor's degree preferred in Administration.
Military Education is equivalent to experience.
Must possess working knowledge of the Marine Corps, its missions and structure.
Demonstrated subject matter expertise with administration, scheduling, and planning.
Completion of the Defense Acquisition University (DAU) Fundamentals of Acquisition Managements (ACQ 101 or an equivalent course) is mandatory.
Must have an intermediate knowledge of the Microsoft office suite.
Must obtain and maintain a valid secret security clearance.
Must obtain and maintain any necessary security access and/or background checks (U.S. citizenship required).

WORK SCHEDULE
Full-time. May be required to work additional hours as needed to complete assignment or project.
TRAVEL
The expected travel time is less than 25%.
DRIVING REQUIREMENTS
Must have or be able to attain a valid state driver’s license and be insurable on the company’s automobile insurance policy. Driving, with or without accommodation, may be required when traveling for training and/or short occasional amounts of local driving. The expected driving time is less than 25%.
WORK ENVIRONMENT
Work is performed primarily in an office setting and occasionally in a trade show environment. May be exposed to sharp objects, some heat, loud noise, chemicals, and vibration. Use of personal protective equipment is mandatory. Employee will be exposed to a wide variety of people in differing functions, personalities, and abilities.
PHYSICAL DEMANDS
Frequent sitting, using hands/fingers, handling, reaching with hands and arms, talking, hearing; occasional walking or standing, occasional lifting of up to 10 lbs.
