Macalester College Planned Giving Associate in St. Paul, Minnesota

Macalester College seeks to hire a Planned Giving Associate to work with our advancement division. This role works directly with the Director of Planned Giving to expand and enhance the college's fundraising program. This position manages a portfolio of long-term stewardship prospects in addition to supporting and managing various components of the planned giving program including marketing activities, 50th reunion fundraising, accurate reporting and compliance.

  • Support the Director of Planned Giving:

  • Support the work of the Director of Planned Giving in his/her portfolio work with current and prospective donors to close new gifts and steward past gifts.

  • Program Administration, Reporting and Compliance:

  • Prepare planned gift illustrations (using PG Calc or similar software), facilitate the completion and return of supporting legal documents, correspondence, and related written memoranda.

  • Assume primary responsibility for verifying, updating, and maintaining files and database with planned gifts, proposals and reports. Serve as the development office specialist for planned giving data entry, ensuring gifts and proposals are entered into the system correctly and reports are pulled correctly.

  • Serve as primary liaison with TIAA Kaspick (external planned gift management firm) and with Macalester’s business office to ensure timely and accurate gift processing and administration. Serve as primary to manage the annual registrations and filings for Macalester’s charitable gift annuity program.

  • Update and monitor the planned giving program budget

  • Produce annual reports to analyze and measure the progress of the college’s Planned Giving program.

  • Provide donors with timely and accurate information on gift transfers, income distributions, tax forms, annual gift reports, and related information.

  • Assist with special Development office projects as needed.

  • Marketing, 50th Reunion and Events:

  • Manage the planned giving marketing program, providing project oversight for the production of newsletters and mailings; track and respond to requests for planned giving information.

  • Work with the outside vendor to maintain and update planned giving website, as well as to create and send quarterly e-newsletters

  • Serve as a key liaison and support position for the 50th Reunion Gift Committee

  • Serve as a member of the Wallace Society event planning team and assist with activities related to other cultivation or stewardship events, especially the 50th Reunion.

  • Work with the Macalester Fund to train colleagues, promote planned gifts, identify areas of collaboration to increase current and future gift activity.

  • Portfolio Management:

    1. Manage a portfolio of Long Term Stewardship prospects. Maintain a consistent schedule of communication with this group to steward past gifts and cultivate for additional gifts.
  • Coordinate with Donor Relations on this group’s inclusion in other stewardship efforts.

  • Bachelor's Degree required.

  • A minimum of 3-5 years of relevant experience. Transferable skills welcome.

  • Experienced in being progressively responsible for administrative and technical tasks.Ideally this would include prior contact with external constituencies, strong written and oral communication skills, organizational abilities, quantitative skills, attention to detail, and basic understanding of financial concepts. Previous experience in higher education, law, finance, or related fields is desirable as well as a knowledge of and commitment to the role of a selective private liberal arts college.

  • Basic prior exposure to fundraising is helpful. A basic understanding of planned giving is helpful. A technical understanding of life-income gifts is desirable.

  • Ability to read and interpret financial reports, giving summaries, payment advices, and tax forms is necessary. Analyzing and summarizing dense legal documents is often required.

  • Ability to manage time and stay on deadline is very important for college compliance with various state agencies. Helping colleagues manage their time is often necessary when gathering time sensitive information.

  • Must be proficient in Microsoft Office Suite and be experienced using email. Must be willing to learn Advance database system, Planned Giving Manager, and various web applications utilized in our division and by the college's external Planned Gift Management Company.

  • Confident in drafting and proofreading, answering phones, filing, data entry, and interacting respectfully with guests visiting the office.

  • Will be required to operate a computer, copy machine, printer, scanner, conference phone, and other office equipment

  • Writing competency is necessary as this position drafts letters, articles, meeting minutes, email correspondence to constituents, etc.

Special Notes:

  • Driver's license is helpful for running work-related errands and occasionally transporting guests to events.
