The Minnesota State Arts Board is looking for their next Office & Administrative Specialist! This position provides general administrative support, coordination of operations, and assistance with project management for the Minnesota Percent for Art in Public Places program. This position coordinates administrative tasks and logistics for advisory committees that make decisions about purchasing and commissioning works of public art for state funded buildings. This individual will use their administrative, communications, and customer service skills in working with a wide variety of clientele including artists and other arts professionals; architects and other design and construction professionals; state agencies and personnel from designated building sites; representatives of higher education institutions; and community members from around the state. This position also maintains relationships with agencies that have custody of works in the State’s permanent art collection.

Minimum Qualifications

  • Experience applying accurate spelling and grammar in written communications.

  • Experience maintaining accurate records and reports; identifying and correcting data entry errors.

  • Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and maintain files.

  • Experience scheduling and confirming appointments in person, on the phone, and through email and other written or electronic correspondence.

Minimum qualifications to be assessed at the interview:

  • Document and records management skills sufficient to accurately file and categorize electronic and paper documents.

  • Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy.

  • Ability to answer questions politely via phone, email, and other written or electronic correspondence.

Preferred Qualifications

  • Three years of administrative work experience

  • Experience working with public art commissions or nonprofit boards, artist selection processes, public construction projects, design professionals, and individual artists.

  • Interest in/knowledge of contemporary and public art

  • Proficiency with Google applications (Docs, Forms, Sheets)

  • Experience hosting virtual meetings with Webex.

  • Experience with audio and video recording.

  • Working knowledge of Adobe Photoshop, Adobe Acrobat

  • Demonstrated ability to work independently, under broad supervision; must be able to exercise sound judgment and use time effectively.

  • Demonstrated ability to maintain productive working relationships with artists, design and construction professionals, public officials and employees, and others.

  • Ability to inspect work samples such as slides, digital images, architectural drawings, maquettes, etc.

  • Ability to assess, review, file, and retrieve requests for proposals, proposals, contracts, budgets, etc.

Physical Requirements

Ability to move from one location to another while navigating uneven terrain.

Ability to transport items such as projection equipment, cameras, sample artwork materials for projects, design maquettes, etc. (up to 10 pounds) which is necessary for selection committee meetings.

Ability to collect and transport items from one location to another.

Additional Requirements

Incumbent must maintain valid driver's license, and insurance, OR have other reliable transportation.
