Student Operations Coordinator

Job Description

Objective

The Student Operations Coordinator will demonstrate commitment to the core values of St. George’s University, which are listed below, by giving exemplary service to the University, its administrators, students and the members of the public who interact with the University. This position will serve as the receptionist of the Office of Student Operations and greet students, faculty and staff. This position will also work closely on any student health insurance queries.

Essential Functions

· Front desk/Receptionist

o Serve as the initial contact for all visitors, faculty, staff and students.

o Responsible for a variety of clerical duties in support of the Student Operations team.

o Assists the Office of the University Registrar with printing ID Cards.

o Maintains and processes all mail generated/received by the Office of Student Operations

o Answers email and salesforce queries.

o Assists the SOM Associate Registrar as needed.

o Works with the Student Operations team to ensure documentation is scanned in OnBase.

o Serves as back-up for ordering supplies for the Office of Student Operations

· STUDENT SERVICES/CUSTOMER SERVICE

o Answer student questions via e-mail and phone regarding SGU sponsored Student Health Plan, Waiver Requirements, Portal Access, Qualifying Events, and Off Campus Renter’s Insurance within 24 to 48 business hours.

o Must be able to review and analyze information within a student record to determine student eligibility/ineligibility within Student’s enrollment or waiver submission

o Must be able to review student records to determine the student's status and recognize/determine program eligibility, health insurance holds, clinical schedules, and premium billing.

o Must be able to counsel students on various insurance questions, including the Student Health Plan and Personal Health Insurance options.

· APPROVING/REJECITNG WAIVERS

o Must have a basic knowledge of health insurance, and can identify the correct information needed on student waiver document submissions to approve waivers submissions in accordance with SGU policies

o Can identify, understand, and provide guidance with the differences in health insurances both for US, UK, Domestic, and International.

o Communicate with students to discuss waiver submissions and rejections and counsel students on the documents required for submitting a waiver.

· OPEN ENROLLMENT/REGISTRATION

o Assist students with accessing the enrollment/waiver portal and submitting their choice to Enroll or Waive for each applicable term (January, April, May, & August).

o Assist students in resolving their student health insurance hold.

o Unlock student records for resubmission and mark students “ACTIVE/INACTIVE” when applicable.

o Reach out to all students still pending Health Insurance holds during the start of term and the end of term.

· QUALIFYING EVENTS

o Process any pending Qualifying Events that students submit.

o Communicate to enroll students into the student health plan.

o Process premiums to student account and update student record accordingly.

o Archive correspondence to log Qualifying Events that have been completed.

· SCHEDULED EMAIL CORRESPONDENCE

o Assist in sending email correspondence to select groups of students for Student Health Insurance events.

o Follow up with Students regarding pending requests, such as Qualifying Events, Enrollment, Waiver, Check-In, Registration, etc.

o Follow up with Staff regarding pending requests sent from the Office of Student Health Insurance.

· ANY ADDITIONAL DUTIES

o Other duties as assigned by the Student Operations Leadership Team.

· Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint and the ability to learn new software programs.

· Familiarity with Registrar best practices related to degrees and other records and registration policies and procedures.

· Exceptional customer service skills, polite and an ability to advise and counsel students, staff and faculty.

· Ability to maintain a high level of accuracy and attention to detail.

· Ability to handle complex and highly sensitive materials and to foster a culture of confidentiality throughout the office.

· Integrity to handle confidential records and University information.

· Excellent oral and written English communication skills; including active listening and interpersonal skills.

  • Knowledge of FERPA.

  • Knowledge of student information systems, preferably Banner.

    Work Environment/Physical Demands

  • This job is performed at a workstation in a positive, creative and collaborative environment.

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets.

  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.

  • The ability to maintain good concentration while dealing with interruptions.

    Hours and Travel

  • A typical work week is 40 hours Monday through Friday 9am to 5pm.

  • Some flexibility in hours is allowed, but the employee must be available during the core work hours of 9am – 5pm.

  • Some overtime, weekend and public holiday working hours during specific times of the year only.

  • No travel is expected for this position.

    Minimum Qualification

  • Completed High School level education, with passes in Mathematics and English Language;

  • IT and Office Procedures would be a plus as would A Level/CAPE/Certificates.

  • At least 2 years experience working in a professional office setting
