Position Announcement

Specializes in key operational functions within Housing and Resident Life, including process oversight, office management, room assignments, communications, billing, data, and reporting. Assists with day-to-day office operations and provides direct service to students and other constituents for a residential living area(s) serving 534 - 698 students. The Housing Operations Specialist promotes On-Campus Housing in partnership with other Resident Life Staff to provide an exceptional on-campus living experience, while maximizing bed usage to reach occupancy and revenue projections. Responsibilities

  • Utilize StarRez software and database to build and maintain forms and templates using software logic, filters, and parameters. Use software to process room assignments, make room changes, facilitate consolidations and check-outs as needed.

  • Manage department email and text communications and processes using Microsoft Outlook and StarRez.

  • In coordination with the Director, manage, maintain, and enhance the Housing Website.

  • Process rent, charges, and fees to student accounts via StarRez and Banner.

  • Process, track and prepare weekly reports related to funds received for deposits, rent, and other billable functions within the Housing and Resident Life Department.

  • Facilitate presentations and other interactions with prospective and incoming students and their families, including webinars and weekly Summer Orientations.

  • Ensure front desk coverage at Campus View Suites 2 and oversee main office functions and mail services. including hiring, training, and supervising office support staff at Campus View Suites 2.

  • Manage Summer Term room assignments, Check-In, and Check-Out.

  • Prepare Internal Billings and Purchase Requisitions. Maintain and use a P-Card to process recurring department expenses.

  • Disseminate information to students, prospective students, parents, outside agencies, visitors, etc. that may require explanation and interpretation of University and/or departmental policies/procedures and direct individuals to sources of additional information.

  • Coordinate residential administrative processes, including check in/out, health and safety inspections, inventory reporting, and end-of-year cleaning/maintenance, etc.

  • Help coordinate the Portal X online application process.

  • Evaluate procedures and software to expedite processes, enhance customer service, manage information appropriately, and maximize resources.

  • Consult with and provide solutions for students and parents who have questions, issues or complications concerning On-Campus Housing, in partnership with other Housing and Resident Life Staff.

  • Coordinate and communicate with campus offices (e.g., Cashier’s Office, Registration, Public Safety, etc.) regarding matters impacting students living on campus and make appropriate follow up and referrals.

  • Coordinate facility and/or IT projects with students regarding upcoming work in living units.

  • Assist in providing departmental administrative support by answering phone calls and emails.

  • Perform other duties as assigned.

Qualifications

  • High School Diploma or GED and some college coursework required. Associate’s or Bachelor’s degree preferred.

  • Two years of relevant office experience required; experience working in a higher education environment preferred.

  • Knowledge of business procedures and office management experience required.

  • Working knowledge of Banner and/or StarRez systems preferred.

  • Ability to understand information systems and how they work together to automate processes.

  • Proficiency in computer and word processing software (e.g. Microsoft Office suite).

  • Good attention to detail, grammar, punctuation, and spelling.

  • Good organizational ability to respond to, and concentrate on, multiple highly detailed tasks concurrently.

  • Excellent interpersonal skills, with the ability to interact with a diverse group of individuals and campus departments in establishing and maintaining effective and positive relationships.

  • Outgoing personality with a history of dependability, reliability, and initiative.

Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS:Full-time non-exempt staff (overtime-eligible) position. Annual salary of $42,000+ depending on qualifications and experience. Desired start date of November/December 2024.
