Service Source Administrative Assistant in Springfield, Virginia

Job Summary Completes and coordinates varied administrative functions. Processes all consumer and employee related materials with regard to strict confidentiality. The starting pay for this position is $18.00/hr, non-negotiable.

Primary Duties The requirements listed below are representative of the knowledge, skills, and abilities required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. These duties and responsibilities will be rated on the Annual Performance Review.

  • Maintain the front desk by answering the phone, processing faxes, and paging, greeting visitors, processing mail, and monitoring the security cameras.

  • Maintain various rosters, schedules, calendars, and participant filing.

  • Input participant time and attendance daily and/or as needed.

  • Process participants plans (typing, copying, distribution) and quarterly reports (copying and distribution).

  • Responsible for inventory and ordering office supplies.

  • Perform other related duties as assigned.

Additional Responsibilities

  • Assist with mass mailings.

  • Provide supports for multiple Long Term and Community and Integration Services (LTCIS) sites.

  • Responsible for mailing out annual surveys and documenting results.

  • Keep an up-to-date inventory of supply items (janitorial and office) and order supplies, when needed.

  • Provide support at other LTCIS sites, when needed.

Qualifications: Education, Experience, and Certification(s)

  • High school diploma or general education development (GED) required.

  • Minimum 3-5 years’ experience in an administrative position required.

  • Must pass State of Virginia Department of Behavioral Health and Developmental Services. (DBHDS) fingerprinting and criminal background check.

  • Valid driver’s license and/or access to reliable transportation to perform work-related travel required. Eligible drivers must have a good motor vehicle record (MVR).

Knowledge, Skills, and Abilities

  • Proficient in MS Office (Microsoft Word, Outlook, Excel, Teams, and Publisher) and ZOOM.

  • Excellent customer service skills (on the phone and in person).

  • Minimum of 35 wpm typing.

  • Relates well to people with disabilities.

  • Advanced training in computer skills preferred.

Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, sit, use hands to finger, handle, or feel, and reach with hands and arms. The employee will be required to climb or balance and stoop, kneel, crouch, or crawl. Position requires bending, standing, and walking the entire workday. Must have the ability to lift 10 pounds frequently and up to 30 pounds occasionally. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.

Work EnvironmentWhile performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually quiet.
