POSITION SUMMARY:

Provide high-level support to the Division of Facilities and Grounds Forestry regarding office management, customer service, and best industry practices and opportunities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Serves as a representative of the City of South Venues Parks and Arts Department, demonstrating a positive attitude and progressive actions by displaying professionalism, courtesy, and appropriate tact and discretion in all interactions with the other employees and the public.

Answers telephones, entering all calls into call management/work orders system

Handles correspondence for Urban Forester.

Makes inquiries, edits, and updates files.

Records daily/monthly statistics.

Assists with completing purchase orders and gold claims following the City's policies.

Records all payments, receipts, and income.

Handles filing of extensive paperwork and records

Address questions from the public and 311 operators and guide Facilities and Grounds forestry employees regarding administrative issues.

Handle all related secretarial duties, including coordinating with 311 and other departments.

Prepare and maintain multiple worksheets and reports for monthly reporting.

Schedule meetings and set reminders for Forestry meetings.

Contact and follow up on other tasks assigned to IT and Analytics to maintain Facilities and Grounds Forestry computers and multi-function office equipment.

Maintain and research continued education opportunities and new performance improvement methods.

Call underground utilities at 811

Other tasks as assigned.
