POSITION SUMMARY:
The Administrative Assistant II provides administrative support for the Director of Community Programming by providing administrative and technical assistance in all areas of programs, projects, and events as needed. The Administrative Assistant II performs a wide range of administrative support tasks including but not limited to greeting visitors, managing the Director's calendar, handling emails, and inbound and outbound calls. Hours are Monday- Friday 9am-5:30pm.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
This list represents the types of duties required by the position. These duties are performed as part of the administrative team. Other duties may be assigned as reasonably expected.
Greets and assists all visitors, answering questions and responding to inquiries in a kind, professional, and welcoming manner. Is the point of contact for internal and external clients.
Answers the telephone, thoroughly screens calls and directs related requests to the proper person.
Manage and organize office operations and procedures.
Schedule and coordinate meetings, appointments, and travel arrangements.
Prepare and edit correspondence and presentations.
Maintain office supplies inventory and place orders as needed.
Handle incoming and outgoing mail and packages.
Assist in the preparation of regularly scheduled reports.
Organizes materials and administrative support for social and community events including calls for program-related functions, seasonal events, and annual functions.
Serves as support to the Director of Community Programming and staff.
