Job Description
As a Compliance Services Specialist, you will be responsible for processing paperwork for company-managed vehicle assets, building relationships with trusted vendors, and maintaining detailed tracking to ensure the legal operation of company vehicles. You will provide leadership by monitoring workflows, generating reports, distributing daily tasks, and escalating quality concerns to supervisors. Additionally, you will develop and manage Standard Operating Procedures for internal processes, research and report legislative changes, and collaborate with supervisors to resolve client issues. You will also serve as a subject matter expert to support new process development and system enhancements, train and mentor new specialists, and support company initiatives by collaborating with the Specialist I team.
Responsibilities
Process paperwork for company-managed vehicle assets.
Build relationships with trusted vendors to strengthen industry partnerships.
Maintain detailed tracking to ensure legal operation of company vehicles.
Provide leadership by monitoring workflows, generating reports, distributing daily tasks, and escalating quality concerns to supervisors.
Develop and manage Standard Operating Procedures for internal processes.
Research and report legislative changes impacting transactions for further investigation and system updates.
Collaborate with supervisors to address and resolve client issues, overseeing escalations to resolution.
Identify potential issues affecting metrics and propose solutions to supervisors.
Serve as a subject matter expert to support new process development and system enhancements.
Monitor outlier reports and follow up to ensure timely transaction processing.
Train and mentor new specialists to build their skills.
Support company initiatives by collaborating with Specialist I team to achieve department metrics.
Assist with inbound compliance responses.
Perform notary tasks as needed.
Essential Skills
3-5 years of office experience, handling high volumes of paperwork and data entry.
High School Diploma.
Basic experience with MS Office Suite (Excel, Outlook, and Word).
Ability to speak and write clearly, confidently, and succinctly.
Strong customer service skills with the ability to interact with internal and external customers diplomatically and tactfully.
Strong critical thinking skills.
Ability to multi-task in a demanding environment while effectively prioritizing tasks.
High attention to detail to ensure accuracy and ability to audit invoicing.
Excellent follow-up and problem-solving skills.
Basic math functions to calculate complex tax documents.
Proficiency with Microsoft Windows and various software (Visio, Word, Excel, Office, etc.).
Proficiency with web-based systems and databases, and knowledge of navigating the internet.
Strong networking skills with the ability to negotiate costs and pricing with vendors.
Self-motivated, team-oriented, and demonstrate leadership qualities.
Additional Skills & Qualifications
- Salesforce experience is a plus.
Work Environment
The position will start in Des Plaines and move to Schaumburg in early Q2 of 2025, located in the Zurich Insurance building, which offers a beautiful and state-of-the-art workspace with a variety of amenities. The work environment includes individual desks in a quiet office setting, with opportunities for collaboration with other teams and vendors. Training will be conducted with a group of 20-40 individuals, ensuring comprehensive support from managers and supervisors.
Pay and Benefits
The pay range for this position is $39520.00 - $43680.00
11 paid holidays, 15 vacation days (increasing after 4 years of service), 6 days of paid leave per year, Blue Cross Blue Shield medical benefits, Dental, Vision, HSA, 401k (with 3% match +50% on the next 2% of contributions), many other discounts
