POSITION PURPOSE

The Child, Family, and Population Health Nursing (CFPHN) department within the School of Nursing has an outstanding opportunity for a Program Operations Specialist . The Program Operations Specialist (POS) is responsible for the overall support for both graduate and undergraduate programs, which includes program management, student tracking & data management, and general administrative support for the faculty across our Nurse Midwifery, Pediatric Nurse Practitioner, Sexual Reproductive Health (SRH) Certificate, and provides general administrative support for the Vice Chair for Education (VCE).

The Program Operations Specialist (POS) serves as a pivotal link in the organizational structure, reporting directly to the Department Administrator. The role's significance lies in its reliance on a meticulous individual well-versed in program management, possessing exceptional organizational acumen, and dedicated to consistently delivering top-tier outcomes. Independent work and program decision making are essential to this position.

This position is instrumental in orchestrating and optimizing communications for Graduate Degree and certificate programs in the department and is vital to the continued success of these programs within the School of Nursing.

DUTIES AND RESPONSIBILITIES ·Graduate Program Management: Nurse Midwifery & Pediatric Nurse Practitioner (60%): Communications: • Manage communications and other course materials with tenure track and short-term faculty to prep for teaching each quarter. • Design/Create and update student orientation materials and “Welcome Letter,” ensuring accurate information is delivered to faculty and students. • Communicate with faculty and students about orientation and quarterly class schedule notices and deadlines. • Build and sustain professional relationships with pertinent local, state, and national agencies and organizations. • Point of contact for graduate students and faculty for program tracks. • Create and manage student rosters, as well as student/faculty/track listservs. • Make updates and ensure accuracy of faculty track-specific listservs annually so that the proper faculty receives accurate and important track information. • Maintain student database for CFPHN graduate tracks: Input new cohort data.

Program Management: • Schedule and document all graduate student advising sessions, as required by the Graduate School; assist with scheduling advising sessions each quarter. • Independently manage course evaluations for all faculty across Nurse Midwifery (NM) and Pediatric Nurse Practitioner (PNP) tracks; provide communication notices to faculty for prepping evaluations each quarter. • Organize and submit documentation for faculty merit process annually. • Oversee the programs, including implementing strategic short- and long-term goals, initiatives, projects, and plans. • Create and track metrics (ie. student satisfaction, course reviews, etc.) to guide business decisions and provide regular updates on the program to the Track Lead, Department Chair, and Department Administrator. • Independent program analysis and process improvement with the input of the track leads. • Serve as a subject matter expert for navigating various systems and processed within the University of Washing and the School of Nursing; serves as main point of contact for tracks supported. • Schedule and conduct track faculty workgroup meetings, including developing agenda with Track Lead, reviewing minutes for accuracy, and follow-through on assigned activities. • Coordination of health sciences program accreditation in collaboration with track lead (Midwifery). • Identify potential risks affecting program performance and mitigate them with support of track lead and/or Department Administrator. • Review quarterly snapshot documents from Student and Academic Services to ensure upcoming teaching assignments are accurate. • Last line of review for catching omissions and errors. • Establish and implement program policies and procedures; maintain oversight and ensure compliance. · Update department bulletin boards for managed programs. • Understand and follow FERPA guidelines. • Assist faculty with planning and organizing social events for students. • Independently create, manage, and implement process improvements related to curriculum management, which includes coordinating faculty teaching assignments, time schedule listings, room assignments, and student access codes. • Provide oversight to student assistants as needed.

General Administrative Support for the Vice Chair for Education (VCE)(20%):· • Review internal CFPHN teaching spreadsheet with VCE and Department Administrator and follow up on outstanding tasks; confirm with Track Leads assignments and FTE. · • Connect with course coordinators to make sure they have all their clinical faculty; send info to VCE. Management of course coordinator evaluations/emails/follow-up. • Identify and set up meetings with faculty and VCE as needed to discuss teaching. • Point of contract between VCE and track leads regarding teaching needs to continually update teaching assignments. • Proactively and independently cross check our internal CFPHN teaching spreadsheet with master curriculum grid & time schedule; review the quarterly date from Student Academic Services. • Proactive communication with Department Track Leads for teaching assignments. • Under the guidance of VCE, coordinate with course coordinator (undergrad) to ensure the identification of clinical instructors per appropriate timeline; partner with A2C to package for hiring. Responsible for digital file management and organization. • Other Duties as Assigned

MINIMUM REQUIREMENTS • Bachelor’s degree in Communications, Education, Business, Public Administration, Human Resources, or Liberal Arts • 2-3 years of related experience

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED EXPERIENCE · • High attention to detail • Creative problem solving in a complicated and continuously changing environment. • Deep familiarity with calendaring software solutions, office related software, and communication tools • Excellent writing and verbal skills • Proven record of successful independent work as well as collaboration with team members • Ability to develop innovative processes to achieve goals. • Excellent organizational, time management and decision-making skills. • Able to maintain a high level of confidentiality. • Skill with WordPress a plus. • Experience interacting with diverse partners ranging across students, faculty, staff, elected government officials, private donors, and executive level leaders.
