POSITION SUMMARY
Reporting to the Associate Dean for Education and Accreditation, Graduate Medical Education (GME), the Program Manager, Teaching and Learning (Manager) manages projects focused on improving the learning environment, community building, GME education events, and administrative support.
POSITION COMPLEXITIES
The position requires working in concert with other Deans, Directors, Managers, Specialists other colleagues in the GME Office, and learners, faculty, staff and leaders throughout the School of Medicine (SoM), UW Medicine, and University of Washington (UW), with minimal supervision.
Working closely with the Associate Dean and Director of Accreditation, the Manager’s work will enhance the offerings of the GME office. They are responsible for the full life cycle of projects, including identifying the need, developing a timeline and seeing to completion. The Manger will disseminate results to the greater GME community and generate reports for a broader audience. They are responsible for professional development event planning and community engagement, including developing budgets and acting as primary point of contact. The Manager provides administrative support to the Associate Dean and the greater Learning Gateway team, necessitating discretion and confidentiality.
POSITION DIMENSIONS AND IMPACT TO THE UNIVERSITY
As a primary point of contact in the GME office regarding teaching and learning, the Manager represents GME, UW Medicine and the UW through these interactions. They must be knowledgeable about priorities for GME, education curriculum/events, and the Associate Dean. The performance of the Manager impacts the work and reputation of the GME office, UW Medicine and the UW.
DUTIES AND RESPONSIBILITIES Project Management and Needs Assessment (45%)
• Review education and accreditation needs with the Associate Dean and Director of Accreditation, developing implementation plans as necessary. • Identify, create, and manage projects to support or enhance teaching and learning, compliance with ACGME requirements, including institutional well-being and professionalism. • Develop project documentation, including project charters, plans, timelines, Gantt Charts, and quality reviews for accreditation and educational projects. • Evaluate project feasibility and estimate resources, time, and FTE required for completion. • Develop and customize project management processes and tools. • Form and lead project teams from initiation to completion. • Communicate project status and resolve issues with stakeholders. • Manage educational needs assessment within the GME community. • Develop and analyze curriculum surveys to determine education needs and inform curricular content for Program Directors, faculty and trainees, including UW Medicine surveys and GME learning environment. • Manage dissemination of results to the GME community. • Generate and distribute survey reports relevant to GME. • Generate thematic reports for shareholder discussion.
Professional Development Event Planning (30%)
• Plan and manage educational events such as the Educator Development for GME Excellence (EDGE), resident and fellow Leadership and Practice Series, Family Building and Navigating Leave seminars, and visiting professor workshops. • Serve as the primary point of contact for program leadership and trainee professional development events, managing budgets, branding, logistics, and communications. • Develop databases and tracking systems for budget, event record-keeping and attendance. • Serve as primary content and coordination liaison to Office of Faculty Affairs, Center for Learning and Innovation in Medical Education (CLIME) and the Teaching Scholars Program. • Oversee and evaluate GME program director and trainee mentorship programs. • Manage Program Director exit and stay interviews. • Manage GME WhatsApp channel communication. • Support GME-related educational research scholarship, including tracking calls for abstracts, workshop, deadlines and related administrative preparation.
Administrative Support to the Associate Dean and Others (20%)
• Provide confidential administrative support services to the Associate Dean and Learning Gateway team. • Research policy and topical areas for presentation and discussion in workgroups. • Manage recurring meeting materials and agendas. • Investigate and resolve significant matters on behalf of GME leadership. • Manage the Associate Dean’s complex calendar and travel arrangements, including reimbursements.
GME Office Projects & Support (5%)
• Support and participate in cross-functional projects such as GME task forces and workgroups. • Perform other duties as assigned.
MINIMUM REQUIREMENTS
• Bachelor’s degree in business administration or related field. • Two years of professional experience, including one year as an Executive Secretary or Administrative Assistant and one year of project management experience, with demonstrated competency in preparing correspondence and reports in a highly confidential environment. • Proficiency with: • Zoom meetings/webinars and associated functions. • Microsoft 365 Suite: Outlook, Teams, OneDrive, Word, Excel, PowerPoint • Google Tools, including Google Calendar. • Aptitude for adoption of other key functional technologies (e.g., Trello, MedHub, ACGME Accreditation Data System, OpenAI ChatGPT).
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
• Ability to work independently and collegially in a fast-paced, changing environment. • Excellent oral and written communication skills • High level of attention to detail, integrity and discretion
DESIRED QUALIFICATIONS
• Experience with social media and community building applications (e.g. WhatsApp). • Familiarity with or support of academic research or scholarship and/or grant submissions. • Experience with Microsoft PowerBI, PowerAutomate.
WORKING CONDITIONS
• Ability to work normal hours (8 AM to 5 PM) in a hybrid telework model. • Flexibility to work alternate schedules for morning and evening events. • Ability to work more than 40 hours per week as operational needs require. • Local travel as needed.
