The Department of Facilities Services and Campus Operations has an outstanding opportunity for a Manager of Mail & Warehouse Operations to join their team. DUTIES AND RESPONSIBILITIES Mail + Warehouse Program Administration
Manage the development, implementation, and administration of comprehensive mail service programs, policies, and procedures across two institutions, ensuring reliable receipt, delivery, and pickup for all mail and packages. Manage the development, implementation, and administration of comprehensive programs, policies, and procedures for warehouse operations, including freight receipt, storage, and delivery, hazardous waste collection and disposal, surplus handling, and waste management (e.g., batteries, digital waste, recycling, composting). Make independent decisions to modify procedures to maximize efficiency.
Manage mail operations, including overseeing mailbox management, copier support services, and library media needs, to guarantee efficient, high-quality service delivery.
Develop and maintain crucial partnerships with the USPS, local Postmaster General, and major carriers to sustain uninterrupted mail and package delivery services. Explain and interpret policies, procedures, and regulations for specific, complex mailing issues.
Coordinate with contractors, delivery drivers, waste disposal/recycling contractors, EH&S Managers, and other internal stakeholders to schedule deliveries, manage hazardous waste pick-ups, and support surplus requests.
Contact UWB + CC departments, USPS, contractors, and vendors, daily, to provide information about Mailing Services policies and procedures or USPS regulations and standards. Collaborate with internal and external stakeholders to facilitate the movement of mail and supplies in and out of the campus mail room and the warehouse.
Leverage in-depth mail services expertise to allocate resources strategically, establish efficient workflows, and uphold compliance with institutional and departmental policies.
Source, procure, and administer package tracking services and managed the procurement of critical campus copier supplies, optimizing operational efficiency.
Responsible for the coordination of Mail Room and Warehouse equipment, including preventative and corrective maintenance, developing an equipment replacement plan, and creating procedures to ensure safe equipment operation.
Accountable for the Mail Room and Warehouse budget of $175,000, including developing and advocating for budget funding needs, approving unit spending, and conducting regular monitoring to ensure adherence to budget targets and identify optimization opportunities.Staff Management + Supervision
Coordinate the activities of a team of 3.0 FTE staff members to ensure alignment with program goals.
Conduct interviews, perform reference checks and recommend hiring decisions. Conduct annual performance evaluations. Ensure all required training is completed, kept current, and documented/archived.
Ensure staff compliance with safety protocols and attire policies; complete OARS reports when required.
Approve leave requests and ensure supervisors and staff are using Workday properly, with timely timesheet vacation leave submissions and accurate reporting.Hazardous Waste Management
Oversee the collection, management, and disposal of campus hazardous waste, including chemical waste, eMedia recycling, and sharps.
Develop and maintain procedures to ensure safe collection, storage, and tracking of items for disposal.
Coordinate with Environmental Health & Safety, third party contractors, and Facilities Services staff to support hazardous waste disposal.
Provide routine reporting on hazardous waste disposal, including types and quantities. MINIMUM REQUIREMENTS
Bachelor's degree in arts, Sciences or related field.
At least four years of experience in Coordination, Supervision, or Management of a commercial or institutional Mail and/or Warehouse Operations. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
Strong organizational skills, ability to manage several projects and/or operations at one time.

Intermediate skills using Microsoft Office and related computer programs and apps.
Ability to work with a diverse constituency. DESIRED QUALIFICATIONS
Digital certifications and/or strong computer skills, certifications, or experience.
Demonstrated excellent attendance at current and/or previous employment.
Effective problem solving and critical thinking skills and demonstrate regular attendance to support the mission of the program. CONDITIONS OF EMPLOYMENT
Generally, indoors but may be required to work outdoors on occasion.
May be required to occasionally lift, push, pull up to 50 lbs.
May be required to occasionally walk up to 1.0 hour.
May be required to drive University and Mail Operations vehicle.
Valid U.S. Driver’s License required.
