Position Description:

DESC is looking for a Donor Database Administrator to support the comprehensive processes of data entry, management, and upkeep of our Salesforce database. As the Donor Database Administrator, you will be entering, collecting, and reporting on data for DESC’s Fund Development Team. You will also serve as the main point of contact for our Salesforce consultants to identify desired enhancements, customizations, and system optimizations.

An ideal candidate for this position will have a deep understanding of Salesforce administrator functions, a background in the nonprofit or fundraising field, and a desire to use their technical skills to make an impact on DESC’s communication and fundraising efforts. This team member will ensure the best use of Salesforce and its integrations while making recommendations to improve the way we utilize data across channels to drive engagement to support DESC’s mission and clients.

A team member who can work independently, has strong problem-solving abilities, and can offer flexibility during busy campaign periods will best fit this position's responsibilities. In addition to leading in our database management efforts, DESC’s Donor Database Administrator will participate in organization-wide efforts to utilize a Community Centric Fundraising model and make improvements in how we utilize data to support our in-kind, volunteer, and communication efforts.

This is an exciting opportunity for someone who enjoys building on their technical skills to continually improve how we identify and utilize data as a collaborative team in the ever changing word of data analytics and algorithmic intelligence. You will build on the past few years of significant investment in infrastructure and take our systems to the next level. This role reports to the Senior Manager of Individual Giving and works closely with DESC’s Individual Giving team to help drive fundraising and communication efforts.

MAJOR DUTIES AND RESPONSIBILITIES:

As the Donor Database Administrator, your job duties will include:

Database Management

  • Manage the Salesforce database that serves as the foundation for all organizational outreach and includes 20,000+ donors, volunteers, partners, and supporters;

  • Responsible for entering online and physical financial gifts, donor and community member information, and other vital data while ensuring the data is accurate, accessible, and secure in our Salesforce database;

  • Oversee donor database administration functions including adding new users, troubleshooting, and system upgrades;

  • Analyze, recommend, and implement third-party integrations with the support of our Database Consultants;

  • Manage DESC’s relationship with consultants to build technical solutions to meet department needs;

  • Clean and de-duplicate records in our database monthly or as needed;

  • Identify errors and discrepancies and follow up with appropriate stakeholders for resolution;

  • Improve processes and bring innovative ideas on how to manage day-to-day support for Fund Dev and Communications team members;

  • Stay up to date on the latest Salesforce installments and provide recommendations on new tools.

Administration

  • Create, update, and maintain mailing lists and donor reports for the Fund Development and Accounting Department;

  • Code donations, pledges, and pledge payments appropriately and in partnership with DESC’s Accounting Department;

  • Manage pledge payment tracking, acknowledgements, reminders, and follow-up processes for multi-year donors;

  • Coordinate with Accounting Staff to reconcile fundraising results, including monthly, yearly, and multi-year reconciliation of our donor database;

  • Database maintenance, including tuning, monitoring, performance analysis, and power query tuning;

  • Database automation including leading the design and technical work of new projects and systems to support the fundraising and communication efforts;

  • Provide technical database support during fundraising campaigns, appeals, and annual solicitation and stewardship processes;

  • Maintain Development Department drives and records.

Training and Documentation

  • Develop and maintain technical documentation for Salesforce data entry and other administrative processes;

  • Develop and deliver new user training and support materials to DESC’s entire Development Team;

  • Help onboard and train new team members so they may best understand how to utilize DESC’s Donor Database and third-party systems.

Development Department Activities

  • Manage acknowledgment of individual gifts throughout the year, including high traffic seasonal online campaigns;

  • Prepare and distribute supporter correspondence through traditional and electronic channels and support portfolio managers in doing so;

  • Conduct strategic prospect research and make donor portfolio recommendations based on donor data analysis;

  • Provide logistical support for fundraising events and appeals, volunteer events, and other various department activities as needed;

  • Create reports and dashboards to inform staff, board, and supporters throughout the year;

  • Lend your expertise through facilitation of full department meetings;

  • Participate in organizational wide equity work;

  • Provide logistical and administrative support for DESC’s Senior Manager of Individual Giving and DESC’s Development Director as needs arise;

  • Other duties as assigned.

Requirements

MINIMUM QUALIFICATIONS:

  • 3 or more years in CRM database management

  • Accurate data entry skills and strong attention to detail

  • Experience in data analysis

  • Proven track record of identifying and evaluating data-informed patterns and outcomes

  • Enthusiasm for working collaboratively with a passionate team

  • Ability to work independently; willingness to be flexible and work cooperatively with team members to accomplish department and agency objectives

  • Good judgment; willingness to take initiative and apply creativity towards problem-solving as necessary

  • Ability to communicate and work effectively with persons from diverse backgrounds and disciplines

  • Subscribe to a philosophy of cooperation and continuity across programs and of consideration and respect for clients and supporters

  • Pass a required Washington State criminal background check

  • Significant level of computer proficiency including MS Office and relational donor databases

PREFERED QUALIFICATIONS:

  • 2 or more years’ experience working with nonprofit organizations

  • Experience with Salesforce’s nonprofit Success pack (NPSP)

  • Experience with managing and creating database dashboards for external and internal audiences

  • Experience working with accounting departments for reconciliation processes

  • Fundraising donor data analysis and proficiency with donor portfolios a plus

  • Familiarity with artificial intelligence, machine learning, or natural language processing systems

  • Current Salesforce certifications

  • Experience integrating third-party applications with Salesforce

  • Experience automating business processes

  • Power Query experience a plus

Salary Description

$84,607.44 - $95,754.00 annually
