The Department of Civil & Environmental Engineering (CEE) is an academic department in the College of Engineering serving more than 750 students annually, including approximately 350 graduate students and 43 full-time faculty.

The department has a large portfolio of programs, including multiple online programs, a growing number of international exchanges with both Scandinavian and Asian nations, cost centers, and a fee-based master’s program. Spread across five different buildings, the department has multiple research and testing laboratories.

The Department of Civil & Environmental Engineering is seeking an ambitious and motivated individual to fill the role of Graduate Program Advisor. This is a key position with oversight of our on-campus graduate program, which has an approximate enrollment 350 students.

DUTIES AND RESPONSIBILITIES Graduate Program Administration (30%)

  • Serve as liaison between CEE, the College of Engineering, College of Built Environments, the Graduate School and other institutional partners as needed.

  • Complete quarterly degree audits for graduating master’s and PhD students and process graduation after verifying all requirements have been satisfied.

  • Notify Graduate School of students in probation or drop status.

  • Serve as an ex-officio member on the Education Committee.

  • Oversee graduate student orientation. Collaborate with area faculty leads to ensure event success.

  • Coordinate with Director of Academic Services and Graduate Program Coordinator to administer graduate student travel award process.

  • Assist with organizing and participate in CEE Graduation Celebration.

  • Maintain graduate student academic files.

  • Maintain student database and generate statistical reports as required.

  • Update graduate program web pages as needed.

  • Serve as liaison between students and Career Center @ Engineering, UW Career Center, as well as outside prospective employers.Advising & Counseling of CEE Graduate Students (25%)

  • Advise graduate students regarding CEE and Graduate School degree requirements, policies and procedures.

  • Assist graduate students with arrangements for master’s or PhD defense or exam.

  • Track research Master’s and PhD student progress.

  • Draft and send warning/probation/drop letters as needed to students in low scholarship status.

  • Meet with students on low scholarship to discuss strategies for improvement and persistence to degree.

  • Counsel and advise students in distress regarding available university resources.Advise Prospective Students & Recruitment (20%)

  • Counsel prospective graduate students regarding requirements for admission, possible career opportunities, and academic goals. Answer questions (including application process and deadlines, departmental course offerings, areas of study within the department, financial aid, etc.). Make referrals as necessary.

  • Represent the graduate program at career fairs, recruiting events and meetings.

  • Coordinate with Graduate Program Coordinator biennially to write and submit Top Scholar Award proposal by deadline. Administer Graduate School Top Scholar Award.

  • Working with GPC, organize Prospective Graduate Student Visitation. Send invitations and assist visitors with travel arrangements. Track RSVP’s. Arrange for reimbursement of airfare and lodging for prospective students. Enter request for GSFEI Top Scholar Award funds in MyGrad Program.Admissions (20%)

  • Process applications checking to insure all documents have been received and meet minimum requirements. Download application data after application deadline and send to Area Graduate Advisors.

  • Coordinate review of applications with area advisors and reviewers.

  • Send offer/denial letters to applicants at direction of Area Graduate Advisors.

  • Send funding offers to prospective students as requested.

  • Track admission and funding offer acceptances & declines.

  • Compile admission statistics after admissions is finalized.Fellowships (5%)

  • Coordinate with Academic Services – Director to send fellowship offer letters as requested.

  • Track fellowships acceptances and notify CEE budget manager and CoE Advancement team of CEE fellowship awards. Notify CoE Fiscal Specialist of CoE fellowship awards.

  • Work with Academic Services Director to obtain letters of appreciation and student profile forms from awardees to be sent to donor.

  • Maintain record of awards. MINIMUM REQUIREMENTS

  • Bachelor's degree in related field.

  • Three years’ experience working in higher education, student advising, student affairs. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Excellent attention to detail and organizational skills.

  • Strong computer skills.

  • Ability to communicate clearly. DESIRED QUALIFICATIONS

  • Experience in higher education.

  • Experience working directly with students.

  • Advising experience.
