JOB SUMMARY:

Provide general administrative support to the Regional HR Manager in supporting a variety of human resources initiatives such as, policy administration and compliance, new hire onboarding, off-boarding, attendance tracking, recruitment support, planning and preparing presentation materials for training activities, event planning and coordination, general affairs/facility requests, and answering routine questions regarding human resources policies and procedures. May identify potential issues for further investigation. Closely collaborates with the regional HR Manager, hiring managers, recruitment team, applicants, and other HR personnel while providing prompt, courteous, and professional communication and resolution of all issues. This position will serve as a primary support for the Savannah locations with shared regional responsibilities.

JOB RESPONSIBILITIES:

60-70% HR and Administration

  • Plans and conducts new hire onboarding, exiting process, ensuring I-9/e-verify compliance and within established deadlines.

  • Educates new hires and existing employees regarding current and new company and client policies and procedures.

  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the regional HR manager.

  • Plans and coordinates regional activities focused on employee recognition, appreciation, and conflict-free workplace, including town hall/year-end meetings, company outings, birthday celebrations, team lunches, morale boosting, wellness-related, and philanthropic events.

  • Provides general affairs and clerical support, such as facility, badge access, seating arrangements, Teamwear/PPE, and safety/OSHA compliance and reporting.

  • Develops and maintains successful client partnerships regarding site specific client policies and procedures (dress code, parking, safety, emergency evacuation, personal device policy, training, etc.).

  • Recommends, assesses, and implements new vendor relationships to support business needs.

  • Respond to employee relations matters while working closely with the regional HR Manager; escalating more complex matters to ensure prompt and appropriate resolution.

  • Attends and participates in employee disciplinary meetings, terminations, and investigations.

  • Provides leave administration support enforcing state and federal laws and company policies and practices.

  • Respond to and promptly report workers’ compensation claims.

  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices, reviews policies and practices to maintain compliance.

  • Maintains and updates employee records and personnel files in accordance to applicable federal and state laws; maintains the accuracy and confidentiality of human resources files and records.

  • Performs periodic audits of personnel files and records, including I-9’s, e-Verify, data system comparison, to ensure compliance and accuracy.

  • Provides backup regional payroll administration support when needed.

  • Identify and facilitate regional training needs to support organizational objectives.

  • Ensures compliance and tracks/reports mandatory and non-mandatory training, to include safety training, anti-harassment training, violence prevention, child labor & immigration law training, etc.

  • Document and maintain administrative procedures and checklists for assigned HR related processes.

  • Performs other duties as assigned.

    30-40% - Recruitment

  • Provide collaborative regional support regarding recruitment activities to include coordinating and facilitating interviews, contacting candidates, maintaining/enforcing processes, and obtain timely feedback from Management to ensure prompt and thorough processing of candidates.

  • Identifying candidates through various methods.  

  • Participates in career fair activities, to include planning, research, attending events, and pre-screening and assessment of college candidates.  

  • Collaborate with the HR and recruitment teams to plan and facilitate internship programs.                                                                                                                                                                                                                                                                                                                                                                          

  • Conduct applicant interviews timely, proficiently, and professionally.

  • Maintain accurate records of active job openings and applicants and manage internal and external job postings.

    REQUIRED SKILLS, ATTRIBUTES & EDUCATION:

  • Bachelor's Degree or equivalent education.

  • 5+ years of human resources experience

  • Excellent verbal and written communication skills.

  • Excellent interpersonal, negotiation, and conflict resolutions skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Outstanding knowledge of Microsoft Office Suite or related software.

  • Strong knowledge of state, federal, and local employment law and guidelines required.

  • Must be comfortable with variety and able to prioritize multiple tasks and meet deadlines.

  • Strong organizational and time management skills with expert attention to detail.

  • Ability to maintain a high level of discretion and confidentiality and exercise good judgement under pressure and in sensitive situations.

  • Ability to collaborate in a team-based environment, providing excellent, friendly, and responsive customer service to employees and managers.

  • Ability to develop and maintain a deep understanding of our people, work, and culture.

  • Desire to work as a team with results driven approach.

  • Experience with ADP WFN Time and Attendance preferred.

  • Experience in applicable SAP database programs a plus.

    PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.

  • Ability to lift 15 pounds at times.

  • Must be able to access and navigate each department at the organization’s facilities.
