A.T. Still University's Central Coast Physician Assistant Program (ATSU-CCPA) is seeking applications for a full-time Clinical Education Administrative Assistant on the Santa Maria, California campus. This position shall provide administrative support in areas of clinical education planning and scheduling, professional correspondence, and assisting the Director of Clinical Education in providing organizational and logistical support for the clinical year as well as assist the Clinical Education Manager with all aspects of department support and administrative activities.

Duties & Responsibilities:

  • Communicate frequently (daily) with students and counterparts at clinical training sites to schedule and coordinate student clinical rotations.

  • Facilitate the review and approvals of clinical education agreements.

  • Contact sites regarding preceptor evaluations, and communicate regarding student schedules.

  • Track and ensure that students have met all requirements for engagement in their clinical education.

  • Provide administrative support for the clinical team.

  • Assist in preparing affiliation agreements and assist in collecting preceptor agreement forms.

  • Up-to-date site visit forms.

  • Assure accurate entries into the Learning and clinical management systems (weekly).

  • Provide clerical functions such as printing, photocopying, faxing, and filing (weekly).

  • Prepare agendas and produce meeting minutes as assigned (weekly).

  • Schedule appointments and meetings related to clinical student operations (as needed).

  • Assist in providing feedback to the Clinical Team regarding concerns or successes with student evaluation of preceptor and/or clinical sites.

  • Proctor clinical year examinations. (EOR and EOC) (every 5 weeks and remediation exams)

  • Assist in creating and maintaining accurate student clinical year records, including, but not limited to (weekly):

  • Clinical site placements

  • Occupational exposures

  • Absence requests

  • Certifications, immunizations, background checks, drug screening, health insurance, etc.

  • Onboarding documents

  • Provide support for program events (bimonthly).

  • Assist in the maintenance of up-to-date individual preceptor files.

  • Perform other related duties as assigned.

Education & Experience:

  • High school diploma or equivalent required.

  • Three to five years of experience in an administrative role.

  • Additional education may be substituted for years of work experience.

  • Highly skilled in working with a variety of academic and student service agencies and healthcare facilities (hospitals, outpatient centers, community health centers), typically at a distance over the phone and email.

  • Ability to communicate effectively with students and clinical preceptors as well as physician, PA, and NP providers, and their staff.

  • Ability to switch between a more guided and supportive tone with students to a more facilitative and collegial tone with our clinical training partners.

  • Proficient in the use of email and Excel files.

The pay range for this position is 21.09 to 31.64 based on experience.
