    Job Description Summary:

The Inpatient Administrative Manager is responsible for coordinating, supervising, and directing the administrative and facilities functions at Serenity House (administrative support, hospice inpatient volunteers, inpatient receptionists, inpatient cooking and housekeeping staff).  The Inpatient Administrative Manager will work directly with the Senior Director of Hospice and the Hospice interdisciplinary team, demonstrating our core values and accountable for upholding the standards of behavior of VNA Health.

Essential Job Duties and Responsibilities:   

  • Ensures that an excellent customer service level is constant and professional communication is always followed with patients, physicians, staff, volunteers, and visitors. 

  • Ensures that responses to visitors and family’s requests for information are handled in a courteous and timely manner. Ensures that the reception desk is maintained during scheduled hours.

  • Provides tours, orientation, and facility information to new and potential patients / families, proudly sharing our quality of care and protecting the Serenity House legacy.

  • Collaborates with the Volunteer Manager to ensure the appropriate orientation, scheduling, and supervision of inpatient volunteers is delivered. 

  • Manages the inventory of both office and medical supplies; to include ordering, maintaining an adequate inventory, monitoring, tracking and auditing usage, encouraging cost containment, reviewing accuracy of invoices and managing budgets.

  • Manages inpatient facility needs for durable medical equipment, housekeeping items, ancillary equipment, patient equipment and purchases items as is appropriate and/or is directed by the Sr. Director, Hospice.

  • Manages and supervises the facilities and housekeeping staff and closely supervisors all tasks for housekeeping, to include maintaining a daily task list for the housekeeper to ensure completion of daily chores.

  • Delegates to volunteers as appropriate to perform tasks and maintain supplies of and / or updating chart forms.

  • Assists with patient activities and maintains a Monthly Activities Calendar for the patient rooms.

  • Collaborates with the IT department and serves as onsite point of contact for the facility’s IT requirements (telephones, tablets, computer desktops, etc.) to ensure all needs are met.

  • Contributes to the marketing communications assets for the Serenity House by sharing stories, editing content and generally advocates for the Serenity House, enhancing our brand and image, maintaining the legacy of the House. 

  • Maintains sufficient supplies of the Serenity House informational brochures, literature, videos, donation forms, etc. 

  • Maintains and updates as needed inpatient facility bulletin boards, information books, alternate Menus, patient family & staff meal purchases.

  • Assists clinical staff with patient call lights, patient repositioning, and feeding, as required.

  • Communicates and collaborates constantly with the Clinical Manager of Serenity House, providing frequent updates and aligning for the effective and efficient management of the House.  

  • Collaborates with the Clinical Manager to maintain and evaluate the Serenity House budget and seeks opportunities to improve operational efficiencies, enhanced revenue and contain program costs.

  • Maintains close connection with the Clinical Manager of Serenity House, sharing key information such as schedule changes and any specific needs on a shift-by-shift basis; communicates with per diem and on-call staff for availability and to cover staff absences (call outs, etc.) or additional patient census.

  • Hosts and facilitates regular meetings with support staff to share and receive information regarding compliance, operational challenges, and continuous improvement in staff and patient/family satisfaction concerns.

  • Completes accurate, timely employee performance evaluations on probationary and annual basis for all direct reports.  Annual evaluation includes documentation to position and regulatory and accreditation standards.  (Clinical competencies will be reviewed by RN’s through observation and then provided to the Inpatient Administrative Manager.) 

  • Promotes continuous quality improvement through process improvements based on feedback on identified quality measures.  Participates in the development of action plan based on quality improvement objectives.

  • Creates and maintains daily staffing ratios with the Clinical Manager for Clinical schedules.  Reviews staffing every shift, including weekend, evening and night and determines staff call off two (2) hours prior to beginning of shift (in conjunction with consultation with the Clinical Manager and based on census and patient acuity).

  • Manages the maintenance of patient statistics (metrics) such as admissions, discharges, and levels of care.  Reviews patient statistics on a weekly basis with the Clinical Manager and Sr Director of Hospice.

  • Responsible for Forwarding Fee Agreements/ Financial Assistance Applications and collaborates with the Billing Department along with collection of any fees provided by family by check, credit card of cash.

  • Demonstrates effective planning by assuring there is sufficient staff to perform the duties and responsibilities of the program (see above, scheduling).

  • Prioritizes and facilitates operational systems delivery that effectively solve or prevent problems related to day-to-day provision of patient care.

  • Manages the Facility Supervisor to ensure requirements are met for Joint Commission and Serenity House, ensuring compliance and the facility is maintained properly.

  • Participates in on-call duties as defined in the on-call policy, as needed.

    Qualifications:

  • High school diploma (or equivalent) is required, college degree strongly preferred.

  • Minimum of 2 years’ experience in a healthcare setting.  

  • Knowledge of state, federal, local and accreditation (Community Health Accreditation Program - CHAP) regulations for the delivery of volunteer services preferred.

  • Ability to supervise, coordinate and evaluate volunteer services.

  • Demonstrates excellent communication and customer service skills.

  • Computer experience using Microsoft Word, Excel and data entry.

  • Has empathy for the needs of the terminally ill, frail and impaired, understands Hospice philosophy.

  • Ability to work in a busy environment, handle multiple priorities and frequent changes in assignments.

  • Ability to work effectively with a variety of personalities.

  • Keep driver’s license and auto insurance current.

     

    Physical Qualifications:

  • Ability to walk up one flight of stairs without assistance of another.

  • Ability to lift 25 lbs.

  • Ability to walk one mile either all at once or throughout the day.

  • Ability to sit for one hour, minimum.

  • Visual acuity.

  • Audio acuity.
