Description We are on the hunt for a Workplace Coordinator to join our dynamic team in San Mateo, California. As a part of the IT Software industry, your role will entail managing office operations, handling customer inquiries, and maintaining a meticulous record of customer interactions. This role presents an ideal opportunity for a short-term contract employment opportunity.
Responsibilities:
• Administering incoming mail and managing office visitors effectively.
• Overseeing the telephone system, answering calls professionally, and directing them as necessary.
• Ensuring the investor relation's database and file system is organized and updated.
• Assisting in the preparation of acquisitions and other marketing materials.
• Conducting thorough research, compiling, and creating investment summaries and loan doc filings.
• Communicating regularly with property managers and HQ staff, providing assistance when needed.
• Handling office supply and lunch room kitchenette, including ordering, inventory control, cleaning, and maintenance.
• Preparing outgoing mail and packages for pick up by various services.
• Collaborating with the accounting department to provide A/P and banking assistance.
• Ensuring the confidentiality of sensitive financial information while interacting with investors and other contacts. Requirements • Familiarity with IT software industry
• Demonstrable experience in a similar role, such as Workplace Coordinator
• Proficiency in basic office skills including Microsoft Office Suite
• Excellent organizational and multitasking abilities
• Strong interpersonal and communication skills
• Ability to handle confidential information
• Proven experience in coordinating workplace activities
• Ability to work effectively both independently and as part of a team
• Detail-oriented with the ability to manage multiple tasks simultaneously
• Proven problem-solving skills with the ability to find creative solutions
• Strong time-management skills with a proven ability to meet deadlines
