Job Description

The Assistant Director for Operations will serve as a Residential Experience leadership team member within the Department of Housing and Residential Life. This staff member will lead the department’s efforts in creating and overseeing policies and procedures for the residential experience unit that impact residential students. The Assistant Director for Operations will oversee on-call scheduling, health and safety inspections, create and review unit handbooks, manuals, and standard operating procedures (SOPs), and oversee opening, closing, and break housing. This position will help directly supervise Residence Directors and promote a sense of belonging for all students living on campus. This position will report to the Associate Director for Residential Experience.

Job Duties

Supervision

  • Supervise and provide leadership for full-time Residence Directors and Resident Assistants, communicate expectations and monitor work processes.

  • Provide ongoing direction & feedback about performance through weekly 1:1 meetings with RDs.

  • Evaluate performance, including conducting performance evaluations effectively and efficiently and attending to their professional development.

  • Assist in the recruitment and hiring of direct reports, including reviewing applicant materials, conducting candidate interviews, and offering recommendations for hiring.

Unit and Departmental Operations

  • Plan and execute break housing, opening, closing, and summer operations in all residential buildings managed by Housing and Residential Life.

  • Coordinate and oversee the residential experience unit’s on-call structure, scheduling, and call logs. Maintain unit on-call procedures and protocols. Develop appropriate on-call training with the Assistant Director for Student Conduct as needed.

  • Manage Housing and Residential Life semesterly health and safety inspections. Review the unit policies and procedures related to inspections as needed. Coordinate residential fire drills with Environmental and Health Safety ( EHS ) as required.

  • Liaison between Housing Facilities Services; ensure key management and access services comply as required. Oversee monthly key audits of all inventories assigned to the residential experience unit.

  • Support unit leadership and staff by managing unit funds and expenditures to ensure financial stewardship.

On-Call Responsibilities & Student Support

  • Participate in 24-hour on-call rotation with live-in professional staff colleagues; recognize that residence hall are open 365 days a year and therefore being on-call during holidays should be expected; respond to student and/or facilities issues or crises as a third-tier responder and in person as needed 24-hours a day; high level of in-person response to mental health concerns, other student support situations should be expected.

  • Consistent communication with senior leadership during crises or emergencies; maintain accurate incident reports using Maxient Software.

  • Work with the Residence Life and Student Success team to respond to critical incidents on campus; work with other departments to provide an appropriate response to crises.

  • Identify personal and emotional concerns of students; provide appropriate resources and referrals; track and monitor student issues using Maxient database; maintain contact with parents and other constituencies as appropriate.

Departmental Responsibilities

  • Serve as a member of the Residential Experience leadership team and ensure proper service delivery, accountability, and support for in-community staff and residents.

  • Represent the Department of Housing & Residential Life in divisional and university committees and work groups.
