Description
Our client is a leading provider of HVAC solutions, dedicated to excellence in service, innovation, and customer satisfaction. With a strong presence in the industry, they are seeking a seasoned and resourceful Senior Executive Assistant to provide top-level administrative support to their executive team in a fast-paced and dynamic environment.
The Senior Executive Assistant will play a critical role in supporting the executive leadership team, ensuring seamless operations, and managing complex schedules. This position requires a highly organized professional who excels in multitasking and thrives in a high-pressure environment.
Key Responsibilities:
Executive Support: Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
Communication Management: Serve as a primary point of contact for internal and external stakeholders, handling correspondence with discretion and professionalism.
Meeting Coordination: Plan and execute executive meetings, including preparing agendas, taking detailed minutes, and ensuring follow-up on action items.
Project Management: Assist with special projects and initiatives, conducting research, preparing presentations, and tracking deliverables.
Event Planning: Organize executive off-sites, client meetings, and company events, ensuring all logistics are handled efficiently.
Data Handling: Prepare reports, manage confidential documents, and maintain executive files.
Process Improvement: Identify opportunities to streamline administrative processes and enhance efficiency.
Team Collaboration: Act as a liaison between the executive team and other departments to facilitate communication and alignment.
Requirements
Minimum of 5+ years of experience as an Executive Assistant, preferably in the HVAC or related field.
Proven ability to manage complex calendars, schedules, and competing priorities.
Exceptional organizational skills with a strong attention to detail.
Proficiency in Microsoft Office Suite and familiarity with project management tools.
Outstanding verbal and written communication skills.
Strong problem-solving abilities and a proactive approach to challenges.
High level of discretion in handling sensitive and confidential information.
Bachelor’s degree or equivalent work experience is preferred.
