Job Summary:

Our client, a fast-paced and growing company, is seeking a reliable and detail-oriented Payroll Specialist to join their team on a contract basis. In this role, you will be responsible for managing the end-to-end payroll process, ensuring compliance with federal, state, and local regulations, and ensuring timely and accurate payroll processing for employees.

Key Responsibilities:

Payroll Processing:

  • Process payroll for all employees accurately and on time, including calculating wages, overtime, bonuses, and deductions.

  • Ensure proper deductions for taxes, benefits, and other withholdings, and maintain accurate records of each employee’s pay history.

  • Verify employee hours, vacation time, sick leave, and other paid time off (PTO) requests to ensure accurate payroll processing.

Compliance & Reporting:

  • Stay up to date on payroll laws and regulations at the federal, state, and local levels.

  • Ensure payroll compliance with tax regulations and other legal requirements.

  • Prepare and file all required payroll tax filings, including federal, state, and local taxes, W-2s, 1099s, and other related forms.

Employee Support & Communication:

  • Respond to employee inquiries regarding payroll discrepancies, deductions, and time-off balances.

  • Provide guidance on payroll policies and procedures to employees, ensuring they are aware of deductions and benefits.

  • Assist employees with payroll-related issues, such as tax withholding adjustments or garnishments.

Recordkeeping & Documentation:

  • Maintain accurate and confidential payroll records, including pay stubs, tax filings, and other relevant documents.

  • Generate and review payroll reports for management to ensure accuracy and compliance.

  • Assist in the preparation of reports for auditors during internal and external audits.

System Maintenance & Process Improvement:

  • Utilize payroll software (e.g., ADP, Paychex, or similar) to ensure efficient and accurate payroll processing.

  • Recommend process improvements to streamline payroll workflows and enhance efficiency.

  • Assist with the integration of new payroll systems or upgrades, as needed.

    Requirements

Qualifications:

  • 2+ years of experience in payroll processing or a similar role.

  • Strong knowledge of payroll laws and regulations, including federal and state tax laws, wage and hour laws, and employee benefits.

  • Proficiency with payroll software (e.g., ADP, Paychex, QuickBooks, etc.) and Microsoft Excel.

  • Strong attention to detail and ability to maintain confidentiality.

  • Excellent communication skills and the ability to resolve payroll-related issues efficiently.

  • Ability to work independently and meet deadlines in a fast-paced environment.

  • Associate’s degree in Accounting, Finance, or related field preferred, or CPP (Certified Payroll Professional) designation.
