Description
Our client is a dynamic and growing construction company based in San Diego, CA known for delivering high-quality projects with a commitment to excellence and innovation. We are seeking a highly organized and proactive Executive Assistant to support senior leadership in managing daily operations, strategic initiatives, and communication.
As the Executive Assistant, you will serve as the right hand to the executive team, ensuring smooth day-to-day operations, managing schedules, coordinating meetings, and handling confidential information. Key Responsibilities:
Executive Support: Manage complex calendars, prioritize appointments, and arrange meetings for senior executives.
Communication Management: Screen and prioritize emails, phone calls, and correspondence; draft responses and manage follow-ups.
Meeting Coordination: Prepare agendas, take meeting minutes, and ensure action items are tracked and completed.
Travel Planning: Arrange travel itineraries, accommodations, and transportation for executives.
Project Assistance: Support special projects, including research, documentation, and reporting as required.
Office Administration: Maintain organization of executive files, records, and supplies; assist with expense reporting and budgets.
Relationship Management: Act as a liaison between executives and internal/external stakeholders, fostering strong relationships.
Requirements
Proven experience as an Executive Assistant or in a similar role, preferably in the construction or related industry.
Exceptional organizational skills with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other productivity tools.
High level of discretion and professionalism in handling sensitive information.
Self-motivated with a proactive attitude and the ability to work independently.
Bachelor’s degree or equivalent experience is preferred.
