Position Overview:

The Accounts Receivable Clerk will manage daily accounts receivable processes, including tracking donations, grants, and other sources of income. The role involves working closely with the development and finance teams to ensure accurate financial records, timely collection, and donor communication. The ideal candidate will be familiar with the unique financial aspects of a non-profit organization, including fund accounting and restricted grants.

Key Responsibilities:

Accounts Receivable Processing:

  • Accurately enter and process incoming donations, grants, and other payments into the accounting system.

  • Issue invoices for pledges, program fees, and other receivables as needed.

  • Reconcile payments with donor and grant records to ensure proper allocation of funds.

Donation & Grant Tracking:

  • Maintain records of restricted and unrestricted funds, ensuring compliance with grant and donor restrictions.

  • Track receivables related to multi-year pledges and provide updates to the development team on outstanding payments.

Collections & Follow-Up:

  • Follow up on outstanding pledges and program receivables, ensuring timely collection.

  • Communicate with donors and grantors to address any payment discrepancies or delays.

Reporting & Reconciliation:

  • Prepare accounts receivable aging reports and assist in month-end close processes.

  • Reconcile accounts receivable balances with the general ledger and provide regular updates to management.

Compliance & Recordkeeping:

  • Ensure compliance with non-profit accounting standards, including tracking of restricted funds and grant reporting requirements.

  • Maintain accurate and organized financial records for audits and reviews.

    Requirements

Qualifications:

Education:

  • Associate’s or Bachelor’s degree in accounting, finance, or related field preferred.

Experience:

  • Minimum of 1-2 years of accounts receivable experience, ideally within a non-profit organization.

  • Familiarity with fund accounting and understanding of restricted vs. unrestricted funds is a plus.

Technical Skills:

  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and donor management systems.

  • Strong Microsoft Excel skills (formulas, VLOOKUPs, pivot tables) are preferred.

Soft Skills:

  • High attention to detail and accuracy in financial record-keeping.

  • Strong communication and interpersonal skills, particularly in working with donors and grantors.

  • Ability to work independently and manage multiple tasks in a fast-paced environment.

Work Environment:

This role will be based at the organization’s main office, working closely with the finance and development teams. The position offers a flexible, mission-driven work environment where collaboration and impact are valued.
