Overview - The Administrative Assistant is responsible for providing administrative support to key members of a management team and managing front desk operations. The strictest confidentiality is maintained in all areas, discussing any issue only with the appropriate individual with prior approval. The ideal candidate for this position should have prior experience providing administrative support at the executive level.

Key Duties & Responsibilities The Administrative Assistant’s responsibilities include, but are not limited to:

  • Maintain general administrative, clerical and support functions in the office to ensure efficient utilization of time and resources

  • Provide front desk functions and support to serve visitors by greeting, welcoming, and directing them appropriately

  • Maintain security by following set procedures for verifying identity and access, managing the visitor logbook, and issuing and reconciling visitor badges

  • Screen incoming calls and correspondence and respond independently when needed

  • Provide administrative support, including telephone coverage, copying, inventory control, and internal and external communications

  • Compose and distribute site-wide documents, memoranda, and other correspondence

  • Schedule and organize calendar activities and organize activities, like meetings, travel, office activities, briefings, and VIP visits

  • Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs

  • Responsible for keeping up with office inventory; reorder supplies on demand at the request of workers

  • Assist with miscellaneous departmental processes and projects as needed

  • High School Diploma

  • Maintain schedule/calendar and email for an Executive team member(s) as requested

  • Attend meetings as requested; capture meeting minutes and follow-ups; send timely updates to appropriate attendees

  • Manage invoices, month-end budgeting process, expense reporting queries and follow-ups; secure appropriate approval documents to ensure timely processing

  • Prepare a variety of analytical reports and dashboards for the team and support agencies

Required Experience

  • 3+ years’ experience in an administrative capacity.

  • Demonstrated ability to multi-task and manage multiple projects simultaneously.

Preferred Experience

  • Associate or bachelor’s degree preferred.

Skills & Abilities

  • Exhibit strong organizational skills and be detail oriented.

  • Possess excellent communication skills and be customer-service oriented.

  • Exhibit strong computer skills with demonstrated experience in Microsoft Office products with a focus in Word, Excel and PowerPoint.

  • Ability to maintain confidentiality.

  • Able to multi-task and shift priorities, as required.

Working Conditions

  • Work is performed in an office call center environment.

  • May require prolonged periods of sitting/standing.
