Job Title: Office/Project Administrator

Job Overview:

We are seeking a highly organized and proactive Office/Project Administrator to support our dynamic team. This multifaceted role requires a professional who excels in managing office operations, coordinating projects, and providing high-level administrative support to executives. The ideal candidate will be a skilled communicator, detail-oriented, and able to handle multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

Office Administration:

  • Oversee day-to-day office operations, ensuring a smooth and efficient working environment.

  • Organize and schedule meetings, appointments, and travel arrangements for team members.

  • Develop and maintain filing systems, both electronic and paper-based.

  • Handle incoming calls, emails, and correspondence, directing them to appropriate parties.

Project Administration:

  • Assist in planning and executing projects, including tracking milestones, deliverables, and timelines.

  • Coordinate with project team members and stakeholders to ensure project goals are met.

  • Prepare and distribute project documentation, such as status reports, meeting minutes, and action items.

  • Monitor project budgets and assist with financial tracking and reporting.

  • Organize project-related meetings and maintain comprehensive project records.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Handle confidential information with discretion and maintain a high level of professionalism.

  • Act as a liaison between executives and internal/external stakeholders.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.

  • Proven experience as an Office Administrator, Project Coordinator, Executive Assistant, or similar role.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software (e.g., project management tools).

  • Strong organizational and multitasking skills with the ability to prioritize tasks and manage time effectively.

  • Excellent written and verbal communication skills.

  • High attention to detail and accuracy.

  • Ability to work independently and as part of a team.

  • Discretion and confidentiality in handling sensitive information.

Preferred Qualifications:

  • Experience with project management software (e.g., Asana, Trello, Microsoft Project).

  • Knowledge of office management systems and procedures.

  • Familiarity with basic accounting principles and financial tracking.
