Job Title: Office/Project Administrator
Job Overview:
We are seeking a highly organized and proactive Office/Project Administrator to support our dynamic team. This multifaceted role requires a professional who excels in managing office operations, coordinating projects, and providing high-level administrative support to executives. The ideal candidate will be a skilled communicator, detail-oriented, and able to handle multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
Office Administration:
Oversee day-to-day office operations, ensuring a smooth and efficient working environment.
Organize and schedule meetings, appointments, and travel arrangements for team members.
Develop and maintain filing systems, both electronic and paper-based.
Handle incoming calls, emails, and correspondence, directing them to appropriate parties.
Project Administration:
Assist in planning and executing projects, including tracking milestones, deliverables, and timelines.
Coordinate with project team members and stakeholders to ensure project goals are met.
Prepare and distribute project documentation, such as status reports, meeting minutes, and action items.
Monitor project budgets and assist with financial tracking and reporting.
Organize project-related meetings and maintain comprehensive project records.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle confidential information with discretion and maintain a high level of professionalism.
Act as a liaison between executives and internal/external stakeholders.
Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field preferred.
Proven experience as an Office Administrator, Project Coordinator, Executive Assistant, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software (e.g., project management tools).
Strong organizational and multitasking skills with the ability to prioritize tasks and manage time effectively.
Excellent written and verbal communication skills.
High attention to detail and accuracy.
Ability to work independently and as part of a team.
Discretion and confidentiality in handling sensitive information.
Preferred Qualifications:
Experience with project management software (e.g., Asana, Trello, Microsoft Project).
Knowledge of office management systems and procedures.
Familiarity with basic accounting principles and financial tracking.
