*Training will take place in the office; if eligibility requirements are met, teleworking up to 3-4 days/per week may be available.    *ROLES AND RESPONSIBILITIES **

As an Office Specialist, you will play a crucial role in processing and approving licenses while providing exceptional customer service. You will be responsible for ensuring compliance with relevant laws, rules, and regulations.

  • License Processing:
    1. Review, evaluate, and process license applications accurately and efficiently
    2. Ensure compliance with all applicable statutes, rules, and procedures
  • Customer Service:
    1. Respond to inquiries from the public via phone, email, and in-person
    2. Provide clear and concise information regarding licensing requirements and processes
  • Regulatory Knowledge:
    1. Maintain a comprehensive understanding of licensing laws, rules, and regulations
    2. Stay up-to-date on industry trends and regulatory changes
  • Administrative Duties:
    1. Accurately input and verify data into agency software systems
    2. Prepare and draft correspondence, reports, and other documents
    3. Maintain organized and up-to-date records
    4. Utilize strong computer skills to efficiently complete tasks

MINIMUM REQUIREMENTS

  • Customer Service: At least 1 year of experience in a customer service or public-facing role, especially in handling inquiries via phone, email, or in-person communication.
  • Communication Skills: At least 1 year of experience that demonstrates strong verbal and written communication skills, including the ability to prepare professional documents (emails, letters, chat) and respond to inquiries clearly and professionally.
  • Data Entry Skills: Previous experience working with databases and inputting or managing data, ensuring accuracy and confidentiality.
  • Basic Computer Skills: Previous experience in using standard office software (e.g., Microsoft 365, Google Workspace, and Adobe Acrobat.)

     PREFERRED

  • Prior experience working in the public sector (Federal, State, or Local government).

  • Prior experience searching for and/or directing others to laws, rules, and/or policies and procedures.
  • Prior experience handling phone calls in a professional setting, along with strong organizational skills and the ability to perform various administrative tasks.
  • Understanding of agency objectives, organization, structure, and mission.

The Department of Commerce is the licensing and registration agency for Utah's professional and business community.  We provide oversight of business registrations, trademarks, Uniform Commercial Code filings,* professional licensing*, consumer protection, public utilities, securities, real estate and residential mortgage lending.

  • Health Insurance - Public Employee Health Program (PEHP):
    1. 3 medical plan options. Choose a Traditional or High Deductible Health Plan. There is an Opt-Out Cash Benefit option for those that have other medical insurance coverage.
    2. 5 dental plan options, with an Opt-Out Cash Benefit option for those that have other dental insurance coverage.

  • Retirement - Utah Retirement Systems (URS):
    1. Employees who have any service credit with an employer covered by the Utah Retirement Systems prior to 7/1/2011 are in the Tier I Public Employees System.
    2. Employees hired on or after 7/1/2011 and who have never been in the URS retirement system have two options for retirement in the Tier II System. 
      1. Tier 2 Hybrid Retirement System. Employer contributes an amount equal to 10% of your salary between both plans (pension and 401(k))
      2. Tier 2 Defined Contribution Plan. Employer contributes an amount equal to 10% of your salary to a 401(k) plan only.  
    3. Employer contributions to your 401(k) are vested after four years.
  • Paid Time Off:

    1. Annual leave and sick leave are accrued at 4 hours per pay period each (4 hours annual, 4 hours sick).
    2. Annual leave amounts increase with years of service.
