Job Summary

Provides support and assists with the overall administration and development of the Cardiovascular Medicine Outreach & Fellowship programs.

Responsibilities

  1. Oversee specific components of daily program operations and program activities, which may include trainee schedules, evaluations, assignments, educational conferences, leave requests, work hours reporting, recruiting, orientation, social events, etc.

  2. Compile and organize confidential data for filing and archiving.

  3. Provide administrative support for program leadership.

  4. Assist with trainee recruiting, which may include interview scheduling, communicate interview schedule with faculty members. After recruiting season, assist with new hire form collection and processing.

  5. Purchase program materials within a stated budget and maintain related documentation.

  6. Prepare letters of recommendation, verification of training, and loan deferment forms, as well as forms for semi-annual house staff reviews and end-of-fellowship letters.

  7. Assists with the implementation of department and University policies and procedures.

  8. Additional support-related duties as needed and assigned.

Problem-Solving

This position provides independent coordination and decision-making for all activities of a specified program. The program outcome often affects the University as a whole. Acts as a liaison between internal and external constituencies involved in program activities. Problems arising from these coordination efforts will be addressed by the incumbent, who will refer to the manager for issues outside of program policy and procedure guidelines.

Minimum Qualifications

Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences

  • Demonstrated knowledge of Graduate Medical Education and familiarity with ACGME requirements.

  • Moderate to advanced computer skills, including proficiency with Microsoft Word, Excel, and Outlook, are strongly preferred. The ability to learn new computer programs quickly is also preferred.

  • Punctual, professional, reliable, and willing to learn and take on responsibility in a fast-paced environment.

  • Superior organizational skills and the ability to work independently and pay close attention to detail desired.

  • Excellent communication and interpersonal skills, including written and verbal, and demonstrated ability in critical thinking and diplomatically handling problems of a sensitive and/or confidential nature.
