Job Summary

The Business Systems Analyst supports the analysis, design, development, implementation and functioning of the systems used to support the University Office of Scholarships and Financial Aid. Investigates and researches solutions to novel situations and actively engages in advancing systems projects. Works directly with clients and project/business leaders to identify system requirements and organizes action plans. Maintains working knowledge of business functions and utilizes technical expertise to provide systems solutions that support business needs, automate workflows, and in turn reduce reliance on manual or redundant processes.

Responsibilities

1.

Systems development, operations, and maintenance

  • Works collaboratively with the Systems team to help ensure systems are functional, compliant, well-managed, operational, and accessible.

  • Engages in the analysis, design, development, implementation, and functionality of the systems to support the needs of the office; may include enterprise resources and ancillary platforms/technologies.

  • Troubleshoots and seeks resolution to system(s’) errors, anomalies, and bugs.

  • Collaboratively prepares for upgrades and patches including identifying necessary testing requirements, running test scripts, and preparing the office staff for any changes to user interface.

  • Ensures all forms of technology available to the office are well utilized and maintained.

  • Coordinates with business stakeholders to establish response times/ service level agreements and ensures fulfillment of system requests within the defined agreement.

Technology integration and maintenance

  • Keeps office staff apprised of the technology resources available that will assist with system functions.

  • Helps identify and diagnose technology concerns and operational difficulties associated with system use, including potential resolution(s).

  • Collaborates with Systems team to train users on system functionality and upgrades/enhancements. Helps design and deliver associated training materials and plans for users/clients.

  • Seeks to have hardware and software platforms implemented well, integrated to the maximum extent possible, and well-maintained.

Systems Security

  • Serves as member of team monitoring controls for systems and data access, assuring access is granted only for those with legitimate and authorized business need in accordance with applicable laws, regulations, and policies.

  • Assists the systems security officer for the office and provides support, including backup, to security administrator.

  • Maintains current access to systems affecting position responsibilities.

Data and analysis

  • Works collaboratively to ensure and maintain data accuracy, relevancy, and integrity for the office. This includes helping ensure all data collection, analysis, and reporting efforts are accomplished timely, and with accuracy and integrity.

  • Assists in assuring and monitoring data security and confidentiality, especially in providing system recommendations that support data security as part of data collection, analysis, and reporting.

  • Supports development and documentation of data definitions in business use cases and works with fellow data stewards/custodians on collaborative understanding.

  • Interprets staff data needs from system and develops queries/reports; ensures output is accurate and conforms to business needs.

Training and professional development; maintain professional demeanor

  • Ensures and maintains accurate documentation of processes and procedures being utilized along with their functional role in the office.

  • Maintains current knowledge of system requirements and researches best practices to fulfill system needs.

  • Keeps up to date on knowledge of upcoming system enhancements and opportunities.

  • Stays current on relevant certifications and training.

  • Actively participates in professional meetings, conferences, and workshops; meets and communicates regularly with colleagues in similar positions/roles; researches industry practices; shares resulting knowledge and research with management and staff in order to serve well the students and the institution.

  • Maintains professional appearance and demeanor, including when engaging students, families, colleagues, and members of the public.

Minimum Qualifications

Requires an associate’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience) and 2-4 years of experience in the field or in a related area. Familiar with relational database concepts, and client-server concepts.

Preferences

  • Prefer experience with PeopleSoft and ancillary systems, or substantial experience with student information systems within a large, research-intensive university setting.

  • Prefer demonstrated analytical, systems development experience. A wide degree of creativity and latitude is expected.
