Job Summary

Performs a variety of business operation and accounting tasks that range in level of complexity from processing invoices and submitting departmental deposits to more complex duties such as reconciling departmental Travel Card and Purchasing Card transactions, reviewing and processing departmental travel expense reports, initiating RFP / RFQ /Sole Source procurement processes, budget review, and educating caches and Athletics staff on procurement policies and procedures.

Responsibilities

Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

  • Review Departmental Travel expense reports ensuring proper University and Departmental Travel policies are being maintained and followed.

  • Create Purchase Orders for procurement of goods and services for the Athletics Department.

  • Initiate RFP / RFQ / IFP /Sole Source procedures when applicable.

  • Create and submit departmental deposits for all Tennis Center related income.

  • Review and process departmental invoices by working directly with the University of Utah Accounts Payable Office.

  • Review and reconcile departmental Travel Card transactions and serve as payment contact for local hotels.

  • Collaborate with Anthony Travel on-site account managers to assist with operational needs.

  • Review and reconcile departmental Purchasing Card transactions.

  • Serve as Business Office liaison to the following sports: Baseball, Men’s Basketball, Men’s Lacrosse, Men & Women’s Skiing, Women’s Beach Volleyball, Women’s Cross Country/Track, Women’s Soccer, and Women’s Volleyball.

  • Process Employee and Student-Athlete reimbursements based on departmental reimbursement policies.

  • Assist in educating coaches and staff on policies and procedures related to procurement, travel, and budget processes.

  • Aid in reviewing and analyzing departmental budgets to identify accounting errors and expense trends.

  • Assists the Director of Business Operations with various procurement and analysis projects.

  • Performs other duties and special projects as assigned and has the opportunity to take on additional responsibilities within the business office.

Minimum Qualifications

  • Bachelor’s degree required in Business Administration, Finance, Accounting, or a related field; plus, two years of related experience.

  • 2 years of collegiate athletics business office, clerical accounting, or relevant experience.

  • The ability to understand, interpret, and apply University and departmental regulations.

  • Capable of working in a fast-paced environment and completing multiple tasks and projects in a timely manner.

  • Human relations and effective communication skills are required.

  • Experience using programs such as Access, Excel, and PeopleSoft.

  • Must have a valid Driver’s License

Preferences

  • Skilled in using Microsoft Access, Excel, and Word.

  • Experience in using Concur Travel Expense preferred.
