Job Responsibilities

· The role carries out office porterage as required, including office moves, furniture moves, deliveries and collections.

· Provide general administration and logistical support to the Facilities Manager and other line managers as necessary.

· Proactive customer service when dealing with a wide range of external and internal stakeholders.

· Build and maintain client and contractor relationships.

· Act as the “face of the Facilities Team” on a day-to-day basis with of customers and clients

· Maintain constructive and positive professional relationships with all other CBRE service delivery staff, their appointed contractors and other vendor partner teams.

· Be the eyes and ears of the contract and the professional go to person for all things FM for the building. Escalating as required to resolve.

· To comply with Health and Safety on site, maintaining records, using the SI7 system, and involvement with contractor management as appropriate.

· To respond to requests for maintenance / technical assistance in person, via telephone and electronically.

· To identify and escalate situations requiring urgent attention.

· To integrate financial data (such as quotations and purchase orders) with the specific maintenance/reactive tasks

· Basic operations/clean on the coffee machines daily and Assist with Fresh Milk delivery on Mondays.

· Deep Clean Weekly on all Coffee Machines

· Up to one hour a day Restocking tea/coffee supplies in all tea points across site if required, restock once facilities tickets are raised by the client (monthly stock take by Receptionist, but support may be required for cover purposes)

· Any other reasonable requests as directed by your Line Manager.

Person Skills

  • Ability to guide the exchange of sensitive, complicated, and difficult information, convey performance expectations, and handle problems.

  • In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

  • Extensive organizational skills with a strong inquisitive mind.
