University of Rochester Stockroom Clerk in Rochester, New York

Responsibilities

This entry-level job supports the Stockroom in a large academic/research department. Interfaces directly with faculty, staff, students, and outside vendors to accurately maintain records, inventory, and shipping/receiving.

Reception/Customer Service – 30%

Staffs the stockroom reception desk and provides customer service for all students, faculty, and staff. Assists customers in signing out supplies and equipment as necessary. Answers the phone and relays messages to the Facilities Manager and Facilities Assistant as needed. Answers general inquiries and directs customers as appropriate.

Shipping & Receiving – 20%

Receives all departmental packages and checks each for damage. Ensures the delivery is accurate. Transports packages to/from the stockroom and delivers packages to respective laboratories or staff offices. Handles all FedEx and UPS shipments and deliveries. Works with each customer to obtain required paperwork for each outgoing shipment and ensures accuracy. Packs items according to current regulations and obtains necessary signatures.

General stockroom and department maintenance – 20%

Cleans stockroom and break area as needed. Routinely does dishes and refills supplies including coffee, sugar, creamer, paper towels etc. Checks and cleans conference rooms and alcoves as needed, by winding-up cords, wiping down tables and chairs, and cleaning as necessary. Notes when lightbulbs need replacing or repairs are needed in each room. Routinely checks the safety eye-wash stations in the building. Checks and maintains the autoclave room and the x-ray processing room as needed. Waters all department plants as necessary.

Inventory maintenance – 10%

Charges-out purchased items accurately and updates inventory lists. Routinely checks and counts current inventory to ensure accurate ordering and bookkeeping. Maintains awareness of chemical inventories including alcohol and dry ice, and suggests orders as needed. Maintains up-to-the-minute knowledge of chemical safety protocols and arranges each chemical on the shelf accordingly. Unpacks all supply shipments and checks for damage and accuracy. Labels each item according to current protocol, records the orders, PO#s, and cross-references invoices and POs for accuracy with the biology business office. Assists in annual inventory process.

Department event support – 10%

Assists with event set up/tear down, food prep and put-away, disposing of garbage and recyclables, and helps to relocate furniture as needed.

Other duties as assigned – 5%

Assist Facilities Manager & Facilities Assistant with bookkeeping, phone calls, errands etc as needed.

Equipment Log – 5%

Signs out equipment to students and faculty as needed. Maintains accurate log of borrowed equipment including laptops, projectors, tools, etc. Tracks items and ensures each is returned on time and accounted for. Intakes departmental equipment for recycling, refuse, or repair.

Requirements:

High school degree with previous customer service experience required. Should be familiar with basic inventory procedures and have basic working knowledge of MS Excel and Word. Knowledge of QuickBooks is helpful but not necessary. Must be comfortable working with the internet and other web-based systems. The successful applicant will be responsible, organized, flexible, adaptable, and will work well with different personalities in a busy stockroom. Some moderate to heavy lifting is required (50lbs-75lbs). Job requires excellent customer service skills, accurate keyboarding, and legible handwriting. Must be detail-oriented and able to multi-task. Must be able to follow directions and operate within set procedures. Sense of urgency and ability to transition smoothly from one task to the next is especially important. Punctuality is expected and necessary.

Pay Range

Pay Range: $15.38 - $21.54 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
