Job Responsibilities:

Administrative and Student Support Services:

Provide administrative support to the faculty, staff and students in the Physician Assistant program including but not limited to, processing academic forms, scheduling meetings, and serving as the main point of contact for the program.

Additional tasks include:

  • Maintaining current student files and academic program rosters

  • Assist in planning and execution of special events, meetings, and hospitality events organized by the Physician Assistant program and/or CHST including but not limited to orientation/academic day, summative evaluation days, PA Coating Ceremony, and commencement.

  • Provide administrative support to faculty with their courses such as posting lecture materials, syllabi, proctoring exams, scheduling of lectures, etc.

Clinical Rotation Coordination:

  • Maintain databases including but not limited to, affiliation agreements, board certification, current license, CVs within 2 years for adjunct and principal faculty and preceptors.

  • Point of contact for and maintenance of program’s E*Value (rotation specific logging), InPlace (student tracking system), similar interfaces with other hospital systems.

  • Contact database for alumni, and guest lecturers.

  • Maintain database of annual faculty appointments for preceptors.

  • Obtain and maintain student files, including student rotation documents containing confidential medical documents.

  • Work closely with the clinical education team to send out mailings to existing and new preceptors yearly to coordinate new rotation schedule.

  • Assist faculty/staff with such items as filing, preparing clinical files prior to clinical site visits and other tasks as needed.

Admissions and Orientation:

  • Serve as the initial point of contact for potential entrants to the PA program, ensuring timely response to inquiries concerning the program and directing to the appropriate channels.

  • Responsible for scheduling admissions interviews, conducting program tour of facilities / arranging campus tours, assisting faculty with college recruitment events.

  • Coordinate and schedule all student interviews for entrance into the PA program and other-related tasks.

  • Organize and coordinate the “onboarding” of new students, including communicating timely information regarding orientation, scheduling, and other important updates.

Budgets and Accounting - Financial & Human Resources

  • Process and track paperwork for Human Resources for guest lecturers and adjunct faculty members honoraria (i.e. hiring and contract processing, payment administration).

  • Coordinate and process financial transactions (procurement card purchases, Invoice Payment Forms, Requisitions etc.) for office/other program supplies etc. for faculty and staff.

  • 2-4 years related experience, preferably in an academic setting
