The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
Serves as principal assistant to a Senior University Executive, Dean, or a Director, providing office supervision and coordinating support service; manages the general office and related administrative services of a large academic department; manages specialized support functions in a University service department, a college or large project; performs related duties.Schedule 8 AM-4:30 PM Responsibilities GENERAL PURPOSE: With minimal direction, and having authority to exercise independent judgment, decision-making and initiative, manage the operations, compliance, and education activities for the Adult Inpatient Medicine Clerkship, Medicine Sub-internship, Honors Sub-internship, and Night Float Elective in the Department of Medicine. Obtain and maintain solid working knowledge of regulations and training requirements related to medical student education in the Department of Medicine. Function as a liaison between medical students, faculty, administration, Office of Medical Education (OME), external agencies and other clinical sites and services within and outside of the URMC system. Maintain discretion relative to confidential and sensitive issues and materials. Ensure compliance with OME and maintain thorough documentation. Participate in ongoing process improvement to enhance the medical student education initiatives in the Department of Medicine. Demonstrate IICARE values in each of the major responsibilities. RESPONSIBILITIES: General Administration of Medicine Subspecialty Fellowship Program(s), in Collaboration with Fellowship Administrator: - Coordinate and deliver administrative support to the Program Director, Associate Program Director, Subspecialty Fellows and Fellowship Administrator. Anticipate needs and prioritize tasks among competing demands. Maintain discretion relative to confidential and sensitive issues and materials. - Assist with directing fellows as needed and is back-up to the Fellowship Administrator and/or other Fellowship Program Assistants, as needed. - Assist with facilitating meetings for Program leadership. Maintain and distribute Program Administration meeting schedules, as needed. - Solicit, organize, schedule and publicize all clinical and didactic conferences for fellowship programs, utilizing MedHub for comprehensive conference schedule. Assist Fellowship Administrator with speaker switches and finding speakers for last-minute cancellations. - In collaboration with the Fellowship Administrator, compile, edit, analyze and/or verify data for reports, surveys, correspondence, marketing, meetings and other purposes to address requests and requirements from national, regional and local agencies and institutions. - Coordinate and disseminate on call schedules and overnight meal stipends. - Maintain alumni data base. Responsible for data integrity. - In coordination with Program Director and/or Fellowship Administrator, develop, distribute and analyze REDCap and SurveyMonkey surveys for recruitment, orientation, alumni, and other applications as necessary. - Assist Program Director and Fellowship Administrator with site visits from ACGME, IPRO, The Joint Commission (TJC) and other governing entities, ensuring that program administration, staff and fellows have been informed of the process and all information is gathered and delivered in a timely manner. General Administration Requiring In-person Presence, in Collaboration with Fellowship Administrator: - Provide hybrid remote support of the Fellowship Program office (2 - 3 days per week, maintaining flexibility for remote or in-person work as needed). - Manage Fellowship space(s) and supplies; facilitate repairs and ordering of necessary supplies as needed. Coordinate with service departments of the University and external vendors, and negotiate quotes as necessary to ensure safety, productivity and cleanliness. - Routinely procure well-being food and supplies for fellows from outside vendors - Register fellows for annual in-training exam. In collaboration with Fellowship Administrator, proctor examinations. - Oversee and manage special events (eg. Graduation, Orientation, Happy Hours, etc.) in-person at venue, as needed. - Participate in recruitment days, orientation, and other events and program functions in person as needed. Events Coordinator, in Collaboration with Fellowship Administrator: - Plan, organize and manage arrangement for periodic and special events for the Fellowship Program, including fellow well-being meals, external well-being events, beginning/end of year events, recruitment, all recurring events, social events, and other ad hoc events. Publish notices of events and announcements. Arrange for meeting facilities, equipment, travel, accommodations and meals for small and large groups, as needed. - Arrange for and manage accommodations, events, refreshments and supplies for fellowship recruitment efforts, in collaboration with Fellowship Administrator, as needed. Negotiate pricing and arrangements for venues, caterers, transportation, hotel and other services, ensuring that budgetary costs are reasonable and consistent. Manage fellowship recruitment events (i.e. night-before gathering, day-of lunch session). - Organize and participate in recruitment days, as needed. Welcome and interact with applicants on interview day, ensuring their professional needs for acclimating to the Program and Rochester are supported. Assist Fellowship Administrator with maintenance of ERAS and other recruitment-related programs. - Coordinate orientation activities for incoming residents, as well as departure events for fellows completing the program and other events, as needed. Compliance Oversight of Fellowship Program, in Collaboration with Fellowship Administrator: - Develop, procure, prepare and/or track all documentation for specialty training matters for new, returning, departing and graduated fellows. Develop, manage, process and track required forms and documentation. Develop, compile, review and/or edit material for reports, correspondence, verifications and other documentation. Prepare and sign routine correspondence. - Monitor compliance pertaining to ACLS/BLS certification in RQI, HIPAA, mandatory health requirements, mandatory hospital activities and other institutional and national requirements. Develop and maintain well organized, thorough electronic files that demonstrate compliance. - Monitor duty hours compliance for fellows to ensure compliance with New York State Section 405 regulations weekly; investigate potential violations and provide feedback to Fellowship Administrator, Program Directors and/or fellows, as needed. - Assist with ensuring program compliance with GME, ACGME, ABIM and other governing bodies, maintain thorough documentation, and assure necessary communication to Program leadership of changes and updates to institutional and national requirements. - Input fellow milestones into WebADS every six months for the Program Director to review and submit. - Assist Program Directors and Fellowship Administrator with the annual completion of the Annual Program Evaluation and WebADS. Coordination of Internal/External Resident/Fellow Rotators: - Coordinate resident and fellow electives and rotations from internal departments or external institutions - Manage and coordinate onboarding activities for these learners (i.e. eRecord/systems access, onboarding documentation collection, etc.) - Coordinate rotation schedules with clinical coordinator or faculty overseeing rotation - Ensure all Program Letters of Agreement (PLAs) are accurate and up-to-date - Ensures completion of rotation evaluations - Advises director(s) of student and program on rotator morale and feedback Other duties as assigned QUALIFICATIONS: Graduation from college or an equivalent combination of experience and training required. 1 year of relevant experience in an administrative capacity, or equivalent combination of education and experience required Preferred: At least 3 years of relevant administrative and/or event planning experience is desired. Exceptional communication skills are essential, in addition to strong organizational, interpersonal, and technical skills, with the ability to easily learn new software and web-based applications. Must be able to make independent decisions, prioritize and manage multiple responsibilities and work productively in a team-based, busy environment. Other desirable attributes are the ability to plan, implement and analyze processes and improve upon them to enhance efficiency and effectiveness. Must have reliable/efficient transportation.
