The referenced pay range represents the minimum and maximum compensation for this job. Responsibilities:
Serves as an administrative agent or business manager of a service or research unit, or as an assistant administrative officer of a major department or project.Schedule 8 AM-5 PM Responsibilities GENERAL PURPOSE: This position serves as the Administrative Assistant to the Chief of Staff for the Executive Vice President (COS) and will work closely with the Executive Assistant to the Executive Vice President & CFO (EVP) to provide general office and related administrative services within the office of the EVP. SPECIFIC RESPONSIBILITIES: - With general guidance as to priorities, manages the time and calendar of the COS, coordinating his/her calendar while choosing/recommending among competing demands on time, referring matters to be handled by others as needed. - Provides a range of administrative and clerical support duties to the EVP's COS, Director of Communications and Director of Project Management. - Works collaboratively with the Executive Assistant to the EVP (EA) in order to solve problems and improve office/equipment operations. Serves as EA's backup as needed. - Assists in preparing, editing and distributing general correspondence, summaries, notes, meeting presentations, simple spreadsheets and reports. Uses online systems to enter and maintain records, procure resources, research information or generate reports. - Communicates and interacts with University senior leaders when scheduling meetings and preparing material for meetings. - Provides timely and professional response to inquiries and serves as a source of information for customers of the department, while maintaining confidentiality in sensitive matters. - Works with external constituents and vendors to coordinate meetings and other logistics. - Support onboarding and existing process, through HR processes, and communications and act as point person for new employees to ensure access to required systems and locations. Review and approval of timekeeping activities for multiple employees including time exceptions. Other duties as assigned. REQUIREMENTS: Required: - Undergraduate degree Preferred: - Minimum of 3 years of relevant experience in executive assistance and office management or equivalent combination of education and experience. - Demonstrated ability to independently manage projects, multiple deadlines and work collaboratively across different teams. - Proven interpersonal skills and experience providing complex administrative support in a professional environment with tact and diplomacy. - Experience with Workday, HRMS and other University systems. - Experience and proficiency with Microsoft Office Including Excel, Powerpoint and Teams - Ability to exercise high level of discretion given the confidential and complex nature of the support to the Office of the EVP. - Demonstrated high proficiency in organization and time management skills.
