St. John Fisher College Administrative Assistant for Undergraduate Nursing Program in Rochester, New York

Job Responsibilities:
Following customer service guidelines, ensure the welcome of all visitors ( SJF faculty/staff, students, outside visitors) to the Dean’s Suite. Greet and inquire as to the purpose of the visit and make visitors comfortable. Support and assist as appropriate.
Provide support for WSON leadership in collaboration with other Administrative Assistants
Liaison with other key offices on campus (ex: Freshman and Transfer Admissions, Registrar, Facilities, Academic Affairs, Library Bookstore, etc. )
Work with Associate Dean, undergraduate program leadership and Transfer Admissions Office to coordinate admissions to the junior clinical year.
a. Manage application files for review by Associate Dean
b. Update and maintain spreadsheets for admission decisions.
c. Serve as primary contact person for both the applicant and Transfer Admissions.
d. Coordinate Level A Math Screening
e. Create and update GPA cover sheets
f. Notify students of admission decisions
g. Manage and update admission waitlist each semester.
- Organize special events as appropriate including mailing and receiving acknowledgements, arrange for parking and catering as needed.
a. Coordinate nursing pin orders for all graduates.
Create and maintain accurate student data base for enrollment, progression records (alumni and current), and email distribution lists.
Assign and manage undergraduate student advising lists.
Provide updated GPA information as needed e.g. Fuld Scholars, STTI leadership, global travel applications, and fast track applications.
Support Undergraduate Associate Dean and Chair for semester program scheduling, registration guides, registration issues, and special room reservations for semester and development of registration menus.
a. Update Junior newsletter each semester.
Support faculty who serves as Student Nurses Association Liaison(s) as needed
Maintain accurate database of student clinical compliance and other required data for electronic medical records.
Accreditation Support CCNE
a. Support the Assistant Dean to compile and maintain materials for required documentation/reports per accreditation guidelines.
- Administrative Support Duties
a. Answer phone and provide information to prospective students. Refer students as appropriate.
b. Provide telephone coverage for the administrative leadership phones as needed.
c. Update Associate Dean calendar and make appointments as appropriate.
d. Support undergraduate faculty by maintaining accurate student files, assisting with photocopying etc.
e. Provide timely and accurate minutes of Undergraduate meetings.
Education / Experience:
A.A.S. Degree in business, office management or similar degree and 5+ years of relevant office experience

35 hours per week Monday through Friday

7:45 – 3:45 pm during the Fall and Spring semesters
