Outreach Development Corporation Inventory Specialist & Project Dispatcher in Richmond Hill, New York

Under the direction of the VP of Operations, Inventory Specialist & Project Dispatcher is responsible for managing and coordinating activities, and making decisions associated with the inventorying of supplies, equipment, and general purchase of fixed assets. The main duties in inventory include controlling the flow of supplies and equipment, tracking, and analyzing inventory maintenance and reporting. On the project dispatching side, will be the point, tracking, and communication hub for the IT and Maintenance work order ticketing system.

Job Scope

  • Develop, implement, and monitor all key functions related to equipment inventory transactions to assure that they are accurate and timely.

  • Work closely with multiple departments related to inventory.

  • Perform thorough research and documentation related to inventory discrepancies.

  • Adjust inventory that has been documented as transferred or discrepancy.

  • Responsible for monitoring and invoicing of purchases and returns related to inventory.

  • Ensure inventory attributes are correctly maintained and complete daily/monthly reports.

  • Inspect, protect, and maintain agency's equipment and all other assets.

  • Maintain the organization’s inventory system.

  • Manager and/or facilitate complete equipment inventory cycle counts of entire organization on yearly basis with efficiency and accuracy.

  • Work with finical department during audits on inventory related items.

  • Responsible for scheduling and dispatching work assignments for IT and facilities staff to address customer requests or immediate needs. This is being done in conjunction with IT & facilities managers.

  • Relaying information such as work orders or other messages to and from work crews to supervisors and customers.

  • Using telephones, email, and JIRA/ticking systems to contact work crews, supervisors, and customers.

  • Speaking with supervisors or customers to resolve problems, requests for services or equipment.

  • Preparing, tracking, and follow-up on daily work such as schedules.

  • In constant communications with managers from IT & facilities on an ongoing basis.

  • Keeping and organizing work requests, customer requests, completed work, charges for work performed, expenses for services performed, inventory records and other information.

  • Providing reports and updates to VP of Operations on all Inventory & projects within IT & facilities.

Qualifications

  • Inventory management experience.

  • Strong organization, planning and problem solving skills.

  • Good written and verbal communication skills

  • Personal drive, action-oriented, quick learner

  • Ability to thrive in a busy, fast-paced team environment as well as work independently.

  • Understanding of Microsoft Office Outlook, Word, and Excel

  • Knowledge of computers for scheduling and other dispatching duties

  • Valid driver's license and reliable transportation a must

    Position Status

This is a full-time non-exempt position.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Must have the ability to travel among assigned sites as needed. There may be long periods of heavy lifting up to 50 lbs, standing, sitting, and computer usage.
