Robert Half Construction Admin Assistant in Richmond, California

Description

We are offering a contract to hire employment opportunity for an Administrative Assistant in the Construction/Contractor industry, located in Richmond, California. This role involves various administrative tasks to support project managers in the day-to-day administration of construction projects.

Responsibilities:

• Assist in the preparation of bid packages, contracts, and subcontracts.

• Coordinate with subcontractors for obtaining bids.

• Handle the acceptance of contracts, acquisition of permits, and relay billing information to the Accounting Department.

• Create and maintain job files, ensuring all paperwork and correspondence are properly organized.

• Carry out mailings related to the project, which can include Letters of Intent, Contracts, Change Orders, and Submittals.

• Assist in assembling change orders and modifying budgets as required.

• Print project plans and other project-related documents.

• Compile and organize Close-Out Binders.

• Use Procore and other software for various tasks, including generating and tracking documents like RFI’s, Submittals, Change Events, Potential Change Orders, Commitments, Commitment Change Orders, and Drawings.

• Handle a variety of situations and conflicts involving the clerical function of the office, ensuring effective time management.

• Regularly interact with internal project managers and supervisors.

Requirements • Proven experience in an Administrative Assistant role within the Construction/Contractor industry.

• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

• Strong data entry skills with attention to detail and accuracy.

• Excellent written and oral communication skills for effective email correspondence.

• Familiarity with Procore construction management software.

• Ability to prioritize and manage multiple tasks simultaneously.

• Excellent organizational and time management skills.

• Strong interpersonal skills with the ability to work effectively in a team environment.

• High level of professionalism and discretion for handling confidential information.

• Ability to work independently and take initiative in problem-solving.

• High school diploma or equivalent required; additional qualifications in Office Administration are a plus.
