What you'll do... :

JOB SUMMARY

Provides day to day clerical and administrative support for assigned Director and departmental staff. Assists in completing department-specific tasks which require confidentiality, independence, and attention to detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Performs general clerical and administrative support of a responsible and confidential nature for assigned Director.

  2. Assists with filing, correspondence, faxing, preparation and distribution of documents and other material, and photocopying for departmental staff as required. Handles outgoing mail processes and distribution of incoming mail.

  3. Schedules meetings, assists with the development of meeting and presentation materials, takes and distributes meeting notes.

  4. Makes travel and hotel arrangements for training, conferences and off-site meetings for the assigned Director’s department.

  5. Assists in the development and maintenance of policy and procedure documentation. Responsible for the development of the final copy of all departmental documentation, ensuring a professional and consistent appearance, free of spelling and grammatical errors.

  6. Completes forms required for purchase of equipment, supplies, and materials. Ensures the department has an adequate level of office and kitchen supplies. Maintains inventory of department equipment. Researches discrepancies to ensure thorough understanding and resolution, reviews with assigned Director on a periodic basis.

  7. Ensures that departmental invoices and expense reports are tracked, approved and forwarded in a timely manner. Reconciles payments against financial statement, research and report any discrepancies to assigned Director. Assists with issue resolution and development and tracking of departmental budget.

  8. Screens and answers phone inquiries, resolves routine to complex situations, identifies sensitive matters and notifies appropriate management, as necessary.

  9. Acts as backup for department, performing various clerical duties and cross training on an ongoing basis.

  10. Performs other duties as assigned.

QUALIFICATIONS

MINIMUM REQUIREMENTS

  • Associates degree or some college.

  • Four years administrative experience in an office environment or equivalent combination of education and work experience.

  • Demonstrated ability to initiate, plan, prioritize and organize multiple projects.

  • Effective oral and written communication skills are required to originate correspondence and communicate with field associates in an effective manner.

  • Experience with Windows with an intermediate knowledge of Microsoft Word, Excel, and PowerPoint.

  • Typing at a minimum of 40 w.p.m.

  • Able to work with limited supervision; self-motivated; detail oriented; good interpersonal skills; and adaptable to change.

  • Demonstrated competence and sensitive judgment with confidential or private information in a management support setting.

  • Excellent organizational skills; ability to initiate, plan and conduct multiple projects successfully.

PREFERRED QUALIFICATIONS

  • Six years administrative experience in an office environment with a minimum of two to three years experience as a senior level administrative assistant or secretary.

  • Experience with Windows and an advanced knowledge of Microsoft Word, Excel, and PowerPoint.

  • Basic to intermediate knowledge of Microsoft Access.

  • Typing at a minimum of 50 w.p.m.

  • Speedwriting or shorthand to 60 w.p.m.
