The successful Executive Business Administrator for this role can navigate and change directions quickly within a fast-paced environment, demonstrate good judgement with a calm sense of urgency, positive attitude, confidence, and professionalism. Being detail-oriented and having consistent and timely follow-through will be essential to success. The candidate will support two General Managers (GMs) and their respective teams. The role is located in Puget Sound, Washington and required 1-2 days per week in the office.

Responsibilities

As an Executive Business Administrator, you are accountable for end-to-end support for two General Managers and their teams including coordination of internal and external meetings.

Leadership and Executive Support

  • Prioritize own time, high-level manager’s time, and manager’s directs’ time. Make administrative decisions and requests on behalf of General Managers to provide complex calendar management.

  • Proactively manages logistics for business group meetings/events.

  • Uses diplomacy and professionalism to draft communications for managers.

  • Develops a deep knowledge of the overall business group strategy and acts as an information resource to the business group.

  • Anticipates and removes administrative roadblocks and makes timely decisions across the business group. Directly resolves customer requests and hosts business guests.

  • Travel Arrangements: Booking flights, hotels, and transportation for business trips, and ensuring travel itineraries

Cross-Functional Collaboration and Communication

  • Works closely with the Chief of Staff (CoS), business operation teams, and CXP Admin Team. Develops and maintains relationships with partner teams across multiple organizations (e.g., business-support professionals, Human Resources, CELA [Corporate, External, and Legal Affairs]).

Calendar Management

  • Provides calendar management and time planning support for GM's ensuring the schedule aligns with Executive’s priorities and commitments. Ability to analyze and respond to changing business priorities daily. May manage community space/conference room calendars. Learns and/or aligns calendar based on knowledge of manager's preferences and operating styles.

Qualifications

Required/Minimum Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management

  • 3+ years of experience with Microsoft Outlook, Word, Excel, PowerPoint

  • 2+ years supporting an executive in a face-paced, corporate environment

Other Requirements:

  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings: Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $27.40 - $46.49 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $37.84 - $52.98 per hour.
