Job Title: Senior Administrative Management Support Specialist
Job Summary:
As a key liaison between departments and external agencies, you'll streamline communication and coordination. Prioritize high volumes of calls, manage calendars, and transcribe documents with precision. Maintain databases, ensuring confidentiality and accuracy. Review incoming correspondence, uphold standards, and suggest efficiency improvements. Compile materials for newsletters and clarify policies with excellent communication skills. Keep senior leaders informed of changes. Your contributions will shape our success.
Responsibilities Include:
Managing records and files
Facilitating employee in- and out-processing
Assisting in overseeing DOD, DCSA, and local office policies and programs
Drafting and routing correspondence
Planning travel (utilizing Defense Travel System (DTS))
Coordinating conference room schedules
Maintaining inventory of office equipment and supplies
Managing the Government timecard program (DAI)
Receiving and routing office mail/correspondence
Administering task management systems (CATMS or Task Management Tracker (TMT))
Keeping senior leaders informed by reviewing and analyzing special reports and Agency Task Management system taskers
Summarizing information from these reports and taskers and identify trends for senior leaders
Assisting in implementing office training programs
Required Qualifications and Skills:
Active TS/SCI clearance
Bachelor's degree
Additional experience may substitute for a degree
3+ years of relevant senior administrative and management support experience
Excellent oral and written communication skills, with proficiency in English
High level of proficiency in Microsoft applications, particularly Word, Excel, and Outlook
Desired:
Experience with the Defense Travel System and timekeeping management programs
Previous experience with the DCSA and DoD
Work Setting and Environment:
Monday - Friday, normal working hours
Work is to be performed onsite in Quantico, VA
