Department Assistant for SEAS, CCOB, and CON Available Title(s): 105F-YNCSNPS - Administrative Assistant 2 Business Title: Department Assistant for SEAS, CCOB, and CON Employee Type: Classified Time Type: Full time Position Term: 12 Month Position Details: Summary of Duties: As the Department Assistant, this position will provide high-level administrative and programmatic support to the School of Engineering and Applied Sciences (SEAS), Carson College of Business (CCOB) and the College of Nursing (CON). This position will make independent decisions regarding the management of the department office; organize, coordinate and implement all administrative services in the departments; work with both internal and external constituencies for the department and work with the college academic directors in monitoring and analyzing the department budgets and exercising independent judgement and discretion for planning, organizing and prioritizing work, developing and compiling reports, processing and updating fiscal needs, and assisting the SEAS, CCOB and CON Academic Directors with operational processes and procedures. This position initiates actions to ensure work unit and office goals are met and has frequent contact with students, clients, the public, faculty, staff, and other WSU offices and units. Assignments and projects are of a complex nature requiring substantive knowledge of a variety of regulations, rules, policies, procedures, and processes. This includes serving as the departments personnel/recruitment coordinator and HR Partner in Workday for faculty, staff, non-permanent and student hiring, onboarding and other compensation/personnel actions. Additional duties and responsibilities include but are not limited to office space management, equipment purchases, purchase card reconciliation, records management, travel, fiscal and budget support, and report preparation. They will coordinate special events and projects on behalf of SEAS, CCOB and CON. Required Qualifications: • One year of experience as an Administrative Assistant 1 OR a Bachelor's degree in business administration, public administration, or closely allied field and two years of responsible office experience at the senior clerical level or higher. • Clerical or office work experience may be substituted for education on a year-for-year basis. Graduate study may substitute for experience on a year for year basis. • Strong organizational skills and a willingness to take initiative. • Demonstrated ability to coordinate multiple programs and deadlines and solve problems for a wide range of complex tasks. • Demonstrated strong customer service skills. • Strong written and verbal communication skills. • Experience working with Microsoft Office programs. • Demonstrated experience interpreting and applying policies and/or procedures. Preferred Qualifications: • Experience working in an environment requiring high attention to detail. • Experience with Workday cloud-based software. • Experience working collaboratively within a team and across organizational lines. • Higher education experience. • Knowledge of Washington State University including experience with university policies and procedures. • Demonstrated ability to maintain confidentiality and function positively in a fast paced professional environment.
