Job Summary

Assistant Program Administrator

Assist the Program Administrators in developing, planning, marketing, budgeting, facilitating, and implementing programs and conferences sponsored by colleges, departments, and essential services the university provides to the community and alumni.

*What you'll do in this position: *

Program Development

  • Work with Program Administrator IV and Director of CE Events in developing camps, conferences or other programs as requested.
  • Propose new innovative programs and conferences based on the mission of the university, the division and department.
  • Prepare a program charter, budget, and schedule for each program.

Program Planning

  • Based on an approved charter, budget, and schedule by Program Administrator, plan all aspects of the event. Including:
    • Selecting and confirming conference speakers or presenters.
    • Establishing registration systems and procedures.
    • Developing participant guides and other materials.
    • Reserving meeting rooms, living space (if needed) and dining space.
    • Ordering catering and or meals.
    • Reserving transportation.
    • Developing a program evaluation plan.
    • Oversee scheduling, class organization, weekly itineraries, etc.

Marketing & Public Relations

  • Co-develop a marketing strategy with marketing to ensure potential program participants are aware of and are motivated to register for the program.
  • Provide marketing copy as needed for brochures, emails campaigns, website, participant guides and other program materials.
  • Oversee social media campaigns including Facebook, Twitter, blogs, etc. and oversee creation of social media collateral with approval of Marketing.
  • Review design of all marketing and public relation elements with Program Administrator and Director.
  • Collaborate on copy for catalogs, brochures, syllabus, web pages, and news releases in conjunction with Marketing editor.
  • Create evaluations to measure learning outcomes for assigned programs.
  • Work closely with BYU faculty and/or administrators to ensure their needs and requests are understood and met. 
  • Be available to answer program questions and assist participants in any way needed prior to and during the program.

Budgeting

  • Forecast income and expenses based on enrollment projections to determine financial feasibility for assigned programs.
  • Manage program expenditures adhering to all BYU purchasing policies and procedures in procuring program supplies and services.
  • Understand and document all expenses related to planning and implementing a program in order to prepare a program budget.
  • Use division budgeting programs to submit budgets for approval.
  • Assist with year-end reconciliation.
  • As necessary, coordinate with Purchasing, LDS Philanthropies, and local vendors to acquire large quantities of supplies.
  • Evaluate success of financial goals for each program.
  • Consult with program administrator on program final numbers and closures.

Program Implementation/Execution

  • Oversee all aspects of the program or conference event.
  • Recruit, interview, hire and train event staff; delegate and supervise all event tasks and responsibilities.
  • Supervise and mentor student program assistants who are assigned to help plan and prepare conferences
  • Make sure all conference activities fall within university guidelines.
  • Oversee all staff to insure excellent customer service standards.
  • Host VIP's, presenters, and visitors.
  • Manage participant problems and concerns.
  • Evaluate effectiveness of programs and make necessary changes for future improvement based on assessment results.

What qualifies you for this role:

Education/Experience

Minimum education/experience required:  

  • achelor's degree with minimum of 2 years professional experience.

         Preferred:

  • Six plus years of professional experience.

Additional Comments

Requires periodic evening and weekend work including possible 50¿60-hour work weeks during event implementation.

Pay Level: 53 Approximate Starting Salary: $69,000 - $89,500 (DOQ)
