Company Job ID-R467The Executive Business Administrator is a true right-hand to the President and Chief Executive Officer, actively participating in all matters of the organization as well as providing superior administrative support. This role requires someone who is highly proactive, fast thinking, able to pre-empt problems, find solutions independently and be highly adaptable to frequent change. This is a fast-track role preparing them for future leadership roles within the company. The position requires a high degree of flexibility and is a true 24/7 support role.Primary ResponsibilitiesProvide a broad range of high level administrative and executive assistant support:Serve as the first point of contact for the CEO, both internally and externallyScreen all phone calls and periodically checking and replying to emailsProvide a bridge for smooth communication between the CEO and internal departments and build relationships crucial to effective collaboration across the organization.Manage and assist with meeting/call follow ups; arranging calls, further meetings, email replies etc.Schedule and confirm complex appointments and meetings Schedule and coordinate the logistics of travel arrangements, being pro-active about flight delays and how to find alternates as neededCreate, coordinate and seamlessly maintain/manage various task lists/calendars and workflows for the executive team keeping track and updating tasks for the team on a daily basis.Organize internal meetings, video conferences and conference calls, including preparing meeting rooms, contacting attendees, facilitating their attendance, ensuring that required informational materials and equipment are prepared in advanceProcessing of business expensesAssist with preparation for various meetings, including Board of Directors meetings and all-employee Town Halls (build presentations, reports, spreadsheets, data analytics, conduct research etc.).Prepare PowerPoint presentations, excel spreadsheets, and letters on an ad hoc basisLead and manage projects as assigned by the CEO: Assist and coordinate investment and acquisition due diligence and analysisIn coordination with Communications team, manage social media profiles for the executive team (LinkedIn etc.)Coordinate and organise timely submission of reports, prepare agendas, take minutes and action points, distribute and manage outcomesPartnering with Learning & Development, arrange training and development for the executive teamManagement of various databases, all business filing, business and personal records and any specific collectionsMaintains customer confidence and protects company byAbsolute necessity to keep information confidentialSecondary ResponsibilitiesMaintains Quality Service and Departmental Standards byReading, understanding and adhering to organizational Standard Operating Procedures (SOP)Assisting in establishing and enforcing departmental standardsContributes to team effort byWorking with internal staff to resolve issuesExploring new opportunities to add value to organization and departmental processesHelping others to achieve resultsPerforming other duties as assignedMaintains Technical and Industry Knowledge byAttending and participating in applicable company-sponsored trainingQualifications: Education:Bachelors degree requiredAdvanced degree, MBA, preferredExperience:5+ years experience within private equity, M&A and or the financial services industry required; Combination of Advanced degree and experience will be consideredHigh degree of accuracy and attention to detail is a mustHighly flexible, highly adaptable, can do attitudeAbility to multi-task and prioritise workloadsAbility to use ones initiative and work alone with minimal supervisionAbility to work well under pressure, meet tight deadlines, think fast, remain calm and poised in a fast paced environmentProfessional, reliable, and trustworthyAble to maintain confidential
