Description
Overview:
The construction project coordinator is responsible for managing the full cycle of contract administration while supporting various departments to ensure the organization operates efficiently. This role requires attention to detail, excellent organizational skills, and the ability to work in a deadline-driven environment.
Responsibilities
Contracts/Jobs Administration
Create and maintain job folders for all departments (e.g., Contract and Contract Financial).
Save bid documents, shop drawings, and other required materials.
Monitor and fulfill contract requirements.
Input and manage job, contract, and estimate data in Timberline software.
Research missing estimates, backup documentation, and related materials.
Manage the Contracts email inbox.
Input Change Order Requests (CORs) and Change Orders (COs) into Timberline, and monitor pending CORs.
Enter commitments and maintain project records in Timberline.
Draft and issue subcontractor agreements and process subcontractor CORs and COs as required.
Generate and distribute a weekly COR log for meetings.
Coordinate and track Certificates of Insurance upon request.
Complete General Contractor prequalification forms and research as needed.
Assist with project closeout procedures and documentation.
Manage subcontractor compliance and control.
Complete vendor registrations and questionnaires.
Collaborate with accounting to review and soft-close completed jobs.
Scan foreman orders and vendor invoices, and assist with their input into Timberline.
Maintain and distribute the weekly project calendar.
Assist in enrolling projects in CCIP/OCIP programs.
File and track Preliminary Notices.
Safety and HR Compliance
Oversee employee badging processes.
Maintain compliance reporting for relevant sites.
Prepare and distribute job safety documents (e.g., JHA/AHA).
Track and schedule employee certificate renewals.
Coordinate first-aid treatment and clinic visits as needed.
Ensure labor law posters are updated and displayed in the office.
Schedule and manage compliance training sessions (e.g., First Aid, CPR, Sexual Harassment).
Track and order employee safety apparel (e.g., shirts, vests).
CAFSA/CalFire Compliance
Enroll new apprentices and maintain their records.
Schedule ABLE testing for apprentices.
Renew fitters' licenses as required.
Accounts Receivable Support
Make AR collection calls and document notes.
Prepare checks for deposit.
Provide backup support for sending lien waivers.
Additional Tasks
Assist with various ad hoc tasks and administrative duties as needed.
Requirements
Skills & Requirements
Proficiency in Timberline (intermediate level).
Strong knowledge of Microsoft Office (Word, Excel, Outlook).
Exceptional attention to detail and accuracy.
Ability to manage competing priorities in a fast-paced, deadline-driven environment.
Strong organizational and project management skills.
