Responsibilities You will serve as the primary point of contact for an organization, providing clerical assistance to military and civilian personnel to support all operating methods and needs related to information, problems and contacts encountered. You will review and process incoming and outgoing correspondence, with judgment of the variety, nature, and sensitivity of the material. You will resolve substantive and procedural problems based on a variety of alternatives and priorities, resolving most conflicts, and informing leadership of potentially controversial issues. You will ensure all correspondence is reviewed for correct grammar, spelling, punctuation, and format, and return incorrect material with revisions marked. You will ensure any classified material is accurately marked and handled. You will use a variety of office automation software and develop methods for automating administrative reports considering the interrelationship of reports and multiple uses of data. You will perform and coordinate the clerical and day-to-day administrative support activities typically required to accomplish the work of the organization. You will maintain subject matter files and records that relate to the work of the unit, setting up and maintaining logs showing status of actions and correspondence. You will receive and screen phone calls and visitors, answering questions and completing business involving established policy or routine matters. You will interact with customers with the highest degree of tact and diplomacy. You will exercise control over the supervisor’s daily calendar, establishing priorities, scheduling meetings, and appointments, managing invitations, and arranging representation based on the supervisor’s preferences, priorities, and workload. You will schedule appointments and make arrangements for participants, time and location of meetings in accordance with instructions from the supervisor. You will make travel arrangements for supervisor and staff, including schedule of visits and reservations, contacting travelers en route to relay information, and prepare various travel vouchers and reports. Requirements Conditions of Employment Qualifications Your resume must also demonstrate at least one year of specialized experience at or equivalent to the NG-03 (GS-07/08 equivalent) pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: providing executive-level support to senior leadership to include receiving phone calls, greeting visitors, typing correspondence and reports, and responding to requests for information in accordance with established command policies and practices. Additional qualification information can be found from the following Office of Personnel Management website: General Schedule Qualification Standards Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. Education Education may be used to substitute specialized experience with the following: A master's or equivalent graduate degree that is directly related to the position being filled. OR LL.B. or J.D. degree that is directly related to the position being filled. OR Two full years of graduate level education that is directly related to the position being filled. OR A combination of experience and graduate education as described above that equates to one year of experience. Additional Information This position is covered by the Department of Defense Priority Placement Program. This position is part of the Warfare Centers Personnel Demonstration Project. The NG-04 pay band encompasses positions equivalent to GS-09 and GS-10. Several vacancies may be filled. A tentative offer of employment will be rescinded if the selectee fails to meet the pre-employment requirements, including failure to report to any of the scheduled appointments.
