Administrative Assistant

Responsibilities will include, but are not limited to:

  • Data Entry
  • Answering phones
  • Accurately enter new appeals data into database
  • Enter scheduling information into case management system for letter to be printed
  • Separate and prepare scheduling letters for mailing.
  • Prepare hearing file and complete Limited English Proficiency (LEP) form.
  • Sort hearing files according to hearing type
  • Process faxes and note in case management system
  • Process incoming and outgoing mail (postage, post office, adding funds to the machine)
  • Sort hearing files in order based on the Statute of Limitations (SOL)
  • Provide coverage for co-workers in absences or during special project times
  • Provide coverage with incoming/outgoing telephone calls and monitor individuals coming in and out of the building through the security system.
  • Download/Save IRO & IDRE documents and enter into case management system
  • Process ALJ withdrawals, dismissals, stipulations, reschedules & remands
  • Download Medical Assistance expedited appeals and documents
  • CAE stay status, reschedule orders, Briefing Letters
  • Email Adjudications (PDF's)
  • Filing Exhibits, documents, files, etc.
  • Other duties as assigned

Work experience requirements:

  • MUST be proficient with PC and Microsoft Office programs, including Outlook, Word, Excel, and PowerPoint
  • High School graduate
  • Outstanding customer service skills
  • Strong verbal and written communication skills
  • Ability to multi-task
  • Ethical, self-motivated, and results oriented team player
  • Must have excellent organizational skills and awareness of time constraints
  • Ability to analyze and research client inquires

Physical Requirements

  • Must be able to remain in the stationary position 75% of the time
  • Constantly operate a computer and other office equipment such as telephone, calculator, copy machine, and printer
  • Regular and predictable attendance is essential for this position
