Job Overview: As an Executive Assistant, you will play a crucial role in supporting high-level executives by running their schedules, handling administrative tasks, and ensuring efficient communication within the organization. The successful candidate will be an organized and proactive individual capable of multitasking and maintaining a high level of confidentiality.
Key Responsibilities:
Efficiently handle administrative tasks on behalf of the President SC and enabling the team to focus on key business workstreams. Heavy calendar management for multiple finance leaders in the spirit of keeping the chaos to a minimum.
Meeting Planning and Management – Monitor/send invites for President Supply and leadership team on all pertinent workstreams……schedule leadership team meetings, , Town Halls, MBR's, Community Service Events and assist planning our Annual Award Meeting. Work closely with the Plainfield engagement team throughout the year.
Manage and maintain Concur (includes booking travel for President SC and members of the SC leadership team), Coupa (PO’s), maintain SC outlook distribution lists, org charts and the Who's Who Of Supply Chain to ensure up to date contact info.
Prioritize and coordinate meetings, including preparing agendas, taking minutes, and distributing relevant documentation.
Arrange logistics for conferences, events, and other professional engagements.
Act as a primary point of contact between the executives and internal/external partners.
Screen and prioritize emails, phone calls, and other communications.
Handle sensitive information with discretion and maintain a high level of confidentiality.

Qualifications:
Validated experience as an Executive Assistant or in a similar administrative role.
Outstanding organizational and time-management skills.
Strong communication skills, both written and verbal.
Proficient in office software and tools (Microsoft Office, Google Workspace, etc.).
Ability to prioritize tasks and work under pressure.
High level of integrity and discretion.
Bachelor's degree or equivalent experience or relevant certification is a plus.
