Description

As a Senior Administrative Assistant at an esteemed organization, you will play a pivotal role in ensuring smooth operations and efficient workflow. We are offering a contract-to-hire employment opportunity for a Senior Administrative Assistant in Philadelphia, Pennsylvania. This role primarily focuses on coordinating daily office operations, overseeing administrative support, managing travel arrangements, and providing direct administrative assistance to the finance department and HR Manager.

Responsibilities:

• Facilitate and oversee daily office operations ensuring smooth and efficient workflow.

• Provide comprehensive administrative support to the finance department and Human Resources Manager.

• Manage travel arrangements including booking reservations for auto, rail, and air travel.

• Handle the reception duties such as greeting and assisting visitors, managing visitor parking spots, monitoring the entry system.

• Manage virtual meeting requests, in-house conference room scheduling, meeting preparation, and set-up.

• Order office and janitorial supplies as needed and manage the purchase order log.

• Assist the Finance Department with expense reporting and collecting receipts.

• Assist the Human Resources Manager with the scheduling of staff performance and salary reviews.

• Handle documentation and correspondence efficiently.

• Manage the calendars of C-Suite executives and arrange their travel bookings.

Requirements

• Must have a minimum of 5+ years of experience as an Administrative Assistant or in a related role

• Proficiency in Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and Microsoft Word is required

• Strong skills in calendar management and correspondence are necessary

• Knowledge of dealing with C-Suite level executives is essential

• Must possess excellent documentation skills

• Experience in arranging travel and managing travel arrangements is a prerequisite

• Ability to handle sensitive and confidential information with discretion

• Excellent written and verbal communication skills

• Strong organizational skills and the ability to multi-task

• Ability to work independently and as part of a team

• Must possess strong problem-solving skills and attention to detail

• Proven ability to manage projects, work under pressure and consistently meet deadlines.
